Job overview
You will be joining a dedicated friendly team in a fast-paced environment using a range of clinical systems and Microsoft packages. A working knowledge of Microsoft Office packages, including Word, Excel and Outlook will be essential. Knowledge of the Trust system Lorenzo would be an advantage but is not essential as training will be provided.
The role will be predominately supporting the Clinical Team and Medics within the Children, Family and Young Persons (CFYP) Service, in the Great Yarmouth & Waveney area. You will, however, be part of a wider Business Support team and so on occasions may be required to help out in other parts of the service.
You will be supporting Mental Health Professionals within the CAMHS (Child, Adolescent, Mental Health Services) team, to meet target waiting times and assist with effective movement through the patient’s journey.
To provide secretarial / administrative support to the CAMHS Team in order that they can provide an efficient service to all their customers.
Main duties of the job
* Supporting Clinicians and Management Team.
* Compiling data reports and attending meetings.
* Liaising with our service users and their families on a daily basis.
* Provide accurate, prompt and efficient secretarial/administrative support to the Clinical Team which may include spreadsheets including complex reports, data cleansing and completing HR tasks on Trust systems.
* To raise agendas, take and process minutes for teams (across the locality).
* Diary management as required for team members to include appointments / meetings, regular commitments to assist in organising the workload.
* Contribute to effective communication by liaising with internal and external parties and agencies as required on behalf of the team.
* Deal with correspondence and communication liaising, prioritising and co-ordinating with the team.
* Deal with telephone calls and general enquiries and maintain an efficient message system co-ordinating with team members.
* Provide non-clinical information to internal and external customers where necessary.
* Ensure confidential information is retained and stored in line with Trust policy in an efficient and effective manner.
* Provide cover for other administrative staff during holidays and sickness, across the Locality.

Qualifications
* NVQ 3 Business Administration or equivalent or working towards.
* NVQ 2 Customer Services or working towards.
* Pitman/RSA III Typing / Word Processing or equivalent secretarial experience at intermediate level.
* Knowledge of Trust electronic record system.
Knowledge
* Working knowledge of Microsoft packages or equivalent.
* Maintaining administrative / secretarial systems.
* Knowledge of NHS policy / procedures.

* Able to work flexibly across a range of different sites/offices.
