Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an Administrative Assistant/Receptionist for an initial 6-month contract with the potential to extend at a rate of £13.94/Hour PAYE. This role will be on-site in Edinburgh Mon-Fri 30 hours per week.
Responsibilities:
The post holder will work as part of a team of eight, providing a range of administrative duties, including an excellent, effective, customer-focused reception support service for the organisation.
The post holder will be the first point of contact for all staff and visitors to the Organisation’s Building. The post holder will provide a high standard of customer care, respond effectively to a broad range of enquiries, and provide administrative support. They will have strong communication skills and enjoy working in a busy environment. They should be able to work on their own initiative as well as being an active team member. A flexible approach to their work and the ability to multi-task is essential.
- Act as the first point of contact for and providing advice to all staff, visitors, and the general public requesting information or access to the buildings.
- Provide a general enquiries service (telephone, email, as well as in person) for all, providing advice or referring the query to the appropriate member of staff.
- Maintain/manage the dedicated Reception mailbox, responding to correspondence as required.
- Provide administrative support for all the organisation by issuing calendar invitations, booking meeting rooms, circulating agendas and meeting documents, and minute-taking, as required.
- Provide support by booking rooms, ordering catering and circulating calendar invitations, as required.
- Maintain up-to-date contact lists for all staff and customers within the organisation.
- Liaise with other buildings personnel staff to ensure the smooth running of the building and contractors employed by the on-site.
- Sign out keys and access passes to staff, visitors and contractors to enable individuals to gain access to rooms as required.
- Coordinate car-parking requests and issuing visitor permits to ensure visitor parking permits are used appropriately and effectively.
- Log and secure lost property to ensure enquiries can be dealt with swiftly.
- Other appropriate duties as delegated by the Team Leader, including covering the reception area during periods of absence/annual leave etc.
Essential Skills:
- Either Vocational qualifications (N/SVQ3 or equivalent) plus at least 1 year’s previous reception experience in a relevant role.
- Excellent customer service experience, including outgoing personality.
- Competent interpersonal and communication skills, with a professional, friendly, helpful and approachable manner.
- Presentable, punctual, and maintaining a tidy work environment.
- Working knowledge of Microsoft Office Suite, email, and databases.
- Strong organisational skills, with the ability to plan own workload.
- Ability to use initiative and a proactive approach to seeking out information.
- Ability to prioritise own workload and meet deadlines
Desirable Skills:
- Relevant work experience in a Higher Education environment.
