Role Overview
You will coordinate all back of house administration requirements ensuring the smooth running of the administration tasks and onward requirements of the customer. Also ensuring all administration supports the centre requirements in providing an outstanding experience for our customers.
What you’ll do:
1. Greeting and welcoming customers in addition to supporting the customer journey throughout the centre right through to a thorough checkout.
2. Answering, screening and forwarding incoming customer queries via phone calls and proactively managing local mailbox and emails.
3. Proactive in maintaining a well presented reception and waiting areas.
4. Ensuring customer reports are dispatched from centres within the desired time frame. This includes effective management of abnormal results.
5. Ensure all customers have the correct paperwork to support their visit – appointment packs (where applicable), clinical file preparation and consent forms.
6. Effective results management (including receiving, scanning, and uploading) and follow-up of suppliers to ensure turnaround within the agreed SLA.
7. Ensure all customer details are correct, customers are arrived, appointments booked, changed, and rescheduled on EXACT/BOSS/Meddbase. Process of payments, invoices, added charges and credit notes upon customer departure.
8. Organise self to ensure a quick turnaround of documents, working in date order and prioritising to meet deadlines.
9. Assist in bookings of mammograms and MSK referrals (where delivered at the centre).
10. Post – collect, open, date stamp, distribute incoming post, and post outgoing post.
11. Generate letters as required by the business.
12. Monitor stocks and order goods when required.
What you’ll bring:
1. PC literate, excellent knowledge of MS office packages.
2. Experience of working within a busy clinical environment.
3. Medical Secretary experience.
4. Some previous leadership experience and people management skills (desirable).
5. Customer service experience and highly customer focussed.
6. Excellent interpersonal, written and verbal communication skills.
7. Excellent organisation and time management skills.
