As the Office Manager, you will play a pivotal role in ensuring smooth operations and maintaining an efficient and productive work environment. The Office Manager is a part-time (15-20hrs/wk) fixed-term (12 months) position, responsible for overseeing the daily administrative and operational functions of our office. You will be the key point of contact for employees and customers and will provide critical support to various departments within the business. Location Requirements This role requires regular in office attendance. Therefore, candidates should be located in Northern Ireland. To ensure that the reception area is kept neat and tidy. Adhere to and work in line with the company’s security policy e.g. registering all visitors and contractors. Arrange taxi bookings for clients and visitors. To manage the booking of on-site meeting rooms and any associated catering requests. Provide further support to external corporate events where feasible. Sort and distribute incoming mail within the business and ensure that outgoing mail/packages are prepared for courier collections, and arranged as required. General office management and maintenance of equipment; coffee machine, printer, air conditioning units as well as ordering supplies and ensuring constant inventory. Ordering of office supplies, marketing materials, or approved hardware as and when required. Manage planned preventative and reactive maintenance with sub-contractors and ensure the service is provided in line with full statutory compliance. Liaise with the building management company as required. Fire safety duties include testing the emergency lighting, fire extinguisher checks, PAT testing and conducting fire safety inspections. Work in line with the company’s environmental policy and targets, assisting with sustainability initiatives and events. Remain flexible in terms of out-of-hours emergency business support. General office administration as needed. Need to Have Demonstrable experience working within a facilities / administrative role and the ability to ‘wear many hats’. Methodical with an ability to work accurately and with excellent attention to detail. Confident and clear communicator. Eligible to live and work in the UK. Nice to Have Experience within the Technology sector. First Aid at Work. Fire Safety Training (Fire Wardens). IOSH Safety Award. NEBOSH Certificate.
