Your responsibilities and tasks:
We are seeking an experienced and highly organised Office Administrator to join our team. This role is pivotal in ensuring the smooth operation of our office and coordinating technicians to respond to breakdowns and to act as the focal point for customers. The ideal candidate will have a proactive mindset, strong communication skills, and the ability to manage multiple tasks concurrently. You will be the backbone of our operations from Colliton Barton, responsible for a wide range of activities on site dislocated from the main office. This is a fantastic opportunity for someone who thrives in a dynamic and fast-paced environment. This role is located in Colliton Barton and the candidate must be able to work from this location 5 days a week.
Roles and Responsibilities:
1. To provide administrative support to ensure efficient operation of the office.
2. Managing account-related tasks, maintaining records, and assisting staff and clients with inquiries and ensuring that systems and procedures are followed to auditable standards and highlight problems identified to the Line Manager for all tasks.
3. Assist with other administrative duties for the good and benefit of the business as required.
4. Raising customer invoices for technical work carried out and sales.
5. Cross-referencing timesheets and job tickets to produce accurate invoices.
6. To process invoices against work on the Sage system.
7. Managing breakdown calls, liaising with customers and informing the technicians of the fault.
8. Resolving missing data on invoices to accurately.
9. Assisting with general administrative duties.
10. Work with others to continually improve processes.
11. Highlight inefficiencies and make suggestions on smarter working methods.
Your profile and qualifications:
1. Preferred school level qualifications in accounting and IT.
2. SAGE experience preferred but not essential.
3. Fast and efficient data entry.
4. Ability to prioritize work efficiently.
5. Agricultural background preferred but not essential.
