Job summary The Team Administrator will be based at the Southwark and Lambeth team base at Townley Road Health Centre in East Dulwich, and will be required to work at the Lewisham team base in Catford when necessary to support the Learning Disability service. The Team Administrator will provide high quality administrative support to the department. Tasks will include responding to telephone enquiries, typing, organising internal multidisciplinary meetings, distributing meeting agendas and notes, taking minutes, reception duties, customer service, maintaining databases, booking appointments/meeting, organising and booking meeting rooms and general administrative support to the team. The Team Administrator will play a key role in the efficient day to day activities of the department. The post holder will often be the first point of contact for the department and will be required to communicate in a professional and courteous manner. The post holder will answer general queries and explain information relating to the department. The post holder will also be expected to collate customer feedback data which may include, on occasion, face to face interviews with clients and their carers. They may also be asked to engage in some clinical activity as directed by clinical staff. Main duties of the job Provide high quality administrative support to the department. This will include managing referrals, bookings meeting rooms and hospitality, organising audio-visual equipment, ordering department supplies such as stationery plus any other ad hoc duties. Type and format letters, reports, policies, minutes, presentations, statistics and general correspondence/ documents, as required, using Microsoft Office and other software packages. Produce accessible information and publicity material for the team using a variety of software packages and digital equipment. Provide support for meetings, including the preparation and distribution of agendas, taking live minutes, and distribution of minutes/ action notes. Follow up of action points arising from meetings. Provide administrative support to projects being managed within the service as directed. Provide support to the team to unblock any IT and patient information management system issues Provide administrative support within the service, including cross cover for administrative team members as required and deputising for the senior team administrators for short periods of time. Provide advice and support to new or less experienced employees on own administrative duties.
