Role Overview

* Provide assistance and administrative support on all aspects of training, including maintaining and overseeing training records.
* Liaise with the Lead Partner for Training and Education on all clinical training and with the Head of HR on non-clinical training.
* Co-ordinate training across the organisation with direction as required from the Lead Partner and Head of HR.
* Assist with support for medical students and provide a point of contact.
* Assist with the record keeping on all training matters including appraisals.
* Administer the apprenticeship portal for the organisation.
* Co-ordinate and deliver PLT events, liaising closely with the Lead Partner for Training and Education and COO.
* Support with internal and external HR related matters or requests. This may require direction and guidance from the HR manager or Head of HR.
* Be familiar with the HR system and maintain employees' records.
* Where necessary, ensure receipt of new joiner documentation, track, chase and prompt accordingly. This will include references, certificates, and relevant membership identification/numbers.
* If required, undertake and progress relevant DBS/background checks. Track and report to the wider HR team any delays, gaps or concerns.
* Assist with the recruitment process including arranging interviews and facilities, drafting, and placing vacancy ads and communication with all relevant parties, e.g., recruiting manager/candidates.
* When requested, oversee onboarding including drafting offer letter and employment contracts.
* Issue New Starter packs and record accordingly.
* When necessary, track induction and probationary review progress. Provide line managers with prompts in the appropriate timescale. Report delays to HR Manager and Head of HR.
* On request, assist HR colleagues providing note taking in meetings. This will include capability, ill health & absence, investigatory and disciplinary hearings.
* Drafting and issuing documentation and letters for all employee related matters.
* Support and assist with ad-hoc HR projects.
* Any other duties assigned by line manager and Head of HR.
Person Specification
Qualifications
* Minimum of GCSE grade A to C in English and Maths
* Ideally some form of HR or Training qualification, although worked experience is more important.
Experience
* Previous experience working as part of a Training and/or HR team in a dynamic and busy Training or HR environment.
* Demonstrable experience and concise understanding of strict confidentiality.
* Ability to communicate at a number of levels with confidence and gravitas.
* Excellent written and verbal communication skills with the ability to always demonstrate empathy and act courteously.
* IT literate with working knowledge of Microsoft Office applications.
* Able to work on own initiative and under pressure, prioritise workload and function as a team member. The ability to work flexibly is essential.
* Highly organised with exceptional attention to detail and the ability to multi-task and prioritise effectively.
* Flexible approach to working hours and location. It may be necessary for the postholder to attend any location within the footprint of the organisation hence possession of a UK driving licence.
