To provide administrative support for the CEO and directors with day-to-day business operations. To organise extensive business travel arrangements for all employees worldwide and for clients visiting the UK.
Responsibilities
1. Manage daily office operations
o Ensure effective communication and collaboration within the team, facilitating a supportive and efficient working environment.
o Organise and plan company events, team-building activities, and other staff engagement initiatives.
o Support with ad-hoc duties as required to ensure the smooth operation of the office.
o Carry out other administrative tasks as and when required.
o Arrange for documents to be notarised and legalised, liaising with the local notary and Chamber of Commerce.
o Monitor and maintain sufficient stocks of refreshments for meeting rooms.
o Arrange for documents to be couriered and track where necessary.
2. Co-ordinate International Travel Arrangements
o Organise extensive travel arrangements liaising with the Griffon Contact, Client, Relevant Travel organisations, Hover travel, hotels, local caterers, restaurants & Accounts.
o Produce letters of invitation for visitors requiring UK visas/ETA.
o Produce or assist with the production of visit programmes.
o Arrange for an interpreter as and when required.
o Set up accounts with local companies e.g. caterers, taxis etc.
3. Executive Assistant to director
o Provide administrative support to the CEO.
o Set deadlines for production of Board report, chase follow-up actions by specific deadlines and ensure that the report is circulated on time.
o Complete Expense Claims for CEO and complete Hospitality/Gifts register for any gifts/hospitality given or received.
