You will support the delivery of an exceptional customer journey for both staff and visitors. To achieve this you will be/become well versed in the processes and practices of a Customer Experience Officer. Excellence in customer service will be at the heart of the role. You will be part of a well drilled reception operation. To ensure synergy across our service providers, we work with a 'one team' approach to successfully deliver an excellent customer journey so in this role you will work closely with cleaning, maintenance and security teams, in order to provide an environment which is welcoming and relaxed yet safe and secure at all times. Responsibilities: Deliver outstanding customer service to staff and visitors. This is a fundamental aspect of the role. Take an active interest in, and give commitment to the client and tenants. Ensure the environment and service is truly excellent and beyond expectation. Promote the client, tenants other service providers positively to all you come in to contact with throughout the customer journey. Be flexible and adaptable to all tasks or challenges. Be highly presentable, accountable; take responsibility and ownership for any tasks identified or allocated. Ensure all contact, be it internal or external; by telephone, face to face or any other medium; is clear, courteous, polite, professional and respectful. Ensure complete client/tenant/other service provider confidentiality; protecting people and information is paramount. Appropriate use of access control and any other electronic management system, and completion of reports and documentation in a timely fashion. Be familiar with all emergency procedures on site and assist in the facilitation of their safe execution and practice. There may also be a need to become a fire marshal and first aider if applicable all training will be provided. All Assignment Instructions / Operations Manual or Standard Operating Procedures are to be reviewed, understood and followed. Embrace and deliver the bespoke training requirements, specific to contractual obligation or regulation. Completion of rostered duties and all associated tasks or responsibilities to the highest possible standard. Ensure that all Health and Safety and Environmental procedures are followed and do not undertake any activity which could breach relevant regulations. To complete any other reasonable task as instructed by your line manager or other Senior Manager, either UniTrust or at the request of the Client and/or tenants. To support internal and external audit processes from UniTrust Security representatives, Client/Tenant Representatives and any other relevant body with a relevant interest and valid reason for inspection or compliance checks. To act with integrity and in the best interests of the company in a safe, compliant and ethical manner. To be resilient to working in the most sensitive environments, dealing with any conflict with a respectful and empathic approach at all times. Be prepared to manage a wide variety and diversity of scenarios, people and challenges. Assist in the induction, development or ongoing training of new team members across the disciplines where appropriate. Act in accordance with Company Policies and Procedures and our Code of Conduct. RECEPTION / FRONT OF HOUSE SPECIFIC RESPONSIBILITIES: Welcome and assist staff, clients, tenants and visitors to the premises in a warm and courteous fashion, maintaining excellence as a standard throughout the customer journey. Check identity and credentials of staff, contractors and visitors where required. Work with all colleagues to ensure the integrity of security on the site. Have an outstanding knowledge of the premises (inside and external) and able to assist staff, clients, tenants and visitors with their queries. Develop and maintain positive interactive relationships with all staff, visitors, tenants, service providers, clients and work colleagues. Have good knowledge of the local area to be able to answer queries regarding local transport links or services in the area for example. Essential Skills: Excellent communication skills. Interpersonal skills and confidence is a must. Exceptional customer service skills. Reliable, trustworthy and punctual. Resilient and calm under pressure with the ability to multi-task and prioritise to help solve problems and overcome challenges. Self-confidence and an interest in self-development. Physically able to conduct all responsibilities associated with the role documented. Ability to work to instruction and on your own initiative where required. Computer literate and confident with the use of Microsoft Office programmes. Flexibility in regard to working practices, hours and responsibilities. Enhanced communication, listening and customer service skills or the ability to train, obtain, retain and develop further in this field.
