PART TIME - 20hrs Portsmouth temporary accommodation provides short-term accommodation for adults, who are homeless or at risk of homelessness. This service operates across six locations, each is tailored to the needs of the clients and offer various levels of support. Our aim is to support clients to maintain their temporary accommodation and prepare them for moving to appropriate housing options. If you’re looking for a job that is hugely rewarding, where every day is different and with endless opportunities to learn, then this is the role for you JOB PURPOSE To provide administrative support and enable effective systems and procedures to be maintained in the efficient running of the service. To provide people with homes and specialist support so they feel more valued and secure, and ready to take the next steps. MAIN RESPONSIBILITIES To provide administrative support to the service including receiving, recording and storing funds, processing invoices, banking, ordering and stock control of supplies – in accordance with set processes To generate letters, take minutes, oversee post, log and report faulty equipment or damage to the property To check, reconcile and report on clients’ rent accounts To collate ex-clients' rent arrears, and produce reports to enable write offs To administer clients’ housing benefit and Department for Work and Pensions records on our systems, liaise with external authorities if needed To complete statutory and regulatory forms and provide data for management reporting To liaise with support workers regarding client matters To adhere to safeguarding responsibilities, following our safeguarding policy and procedure To help maintain health and safety, ensuring clients, visitors and buildings are safe in accordance with Health and Safety regulations, policy and procedures To maintain accurate records on our client management system and ensure these are stored in line with GDPR To maintain confidentiality To carry out any other reasonable duties required in the interest of the organisation ADDITIONAL RESPONSIBILITIES This role has financial authorisation responsibilities ROLE REQUIREMENTS This role will require an Enhanced with Barred List(s) disclosure and barring service check is a requirement for this role. This would be completed on appointment of the role. EXPERIENCE AND QUALIFICATIONS/TRAINING Good standard of general education to GCSE level in Maths and English Typing or IT qualification (RSA, CLAIT, ECDL) desirable ESSENTIAL CRITERIA Strong communication skills, both verbal and written Strong administration and organisational skills Competent in knowledge of Microsoft Office – Word, Excel, Outlook Customer service skills Good problem-solving skills Ability to manage and prioritise workload Ability to self-motivate as you will work on your own as well as in a team DESIRABLE CRITERIA Knowledge of voluntary and statutory agencies, housing regulations and the benefits system Understanding of the support needs of people experiencing homelessness or those with complex needs We reserve the right to close our adverts early if a successful candidate is found, so please submit your application as soon as possible.
