Duties:
1. Update tracker from company database and populate fields (e.g. cost, Batch codes).
2. Start customer complaint investigation forms and send out to relevant person.
3. Chase departments on any open investigations.
4. Take sufficient minutes of 2 short daily H&S morning meetings. Important but fairly informal.
5. Take minutes of SHEQ annual meeting.
6. Note minutes and file these for employees from each department (approx. 6).
7. Assist with audits in terms of getting documents ready.
8. Carry out the administration for ToolBox Talks, including:
1. Update ToolBox Talk register.
2. Gather missing Toolbox Talks information from recipients.
3. Print and distribute where required.
4. Filing / checking.
9. Distribute Safety Alerts (emailing and placing around site).
10. Update Site Compliance Register (Monthly).
11. Update the question banks and upload onto system.
12. Ensure noticeboards are regularly updated across the site.
13. Update TV slides situated across the site; this is a desktop digital activity.
14. Email correspondence with contractors.
15. Administer COSHH (Control of Substances Hazardous to Health) information, ensuring careful filing for easy retrieval.
16. Obtain safety data sheets from suppliers (can sometimes be retrieved from suppliers' websites).
17. Complete assessments (after training).
18. Update register.
19. Update SHEQ dashboard from Benchmark (every morning).
20. Manage assessments and tracker updates.
21. Develop and update training matrix / chase.
22. Maintain records of Hand Arm Vibration checks and email out to relevant departments.
23. General admin work: general email enquiries, printing/laminating for plants e.g., notices/temporary signs, general filing.
24. Daily reject cost reports.
25. Record accident and incident follow-up actions.
26. Perform any other duties required.
Personal Profile:
1. SHE experience/knowledge is required.
2. SHE qualifications desirable but not essential.
3. There may be a requirement to travel to another local site.
4. You will need transport for occasional visits to another local site for H&S administration.
5. Attention to detail is absolutely key in this role.
Hours: 9am - 4pm. There is a possibility that this could go permanent but there are no guarantees.
