In this hybrid role, you will have a combination job of Office Manager and Team assistant reporting directly to our Vice President responsible for Europe. The Office Manager is responsible for ensuring the smooth and efficient operation of the office by handling daily administrative tasks, office supplies, scheduling, and supporting other team members. The Team Assistant provides administrative and operational support to a specific team within the organisation. This role involves assisting with various tasks to ensure the team’s productivity, coordinating projects, maintaining schedules, running communications, and supporting team members with their daily needs including administrative tasks. Role and Responsibilities Your key responsibilities Oversee daily office operations, ensuring smooth functionality and efficiency. Maintain office supplies inventory and place orders when necessary. Coordinate office maintenance and ensure the workspace is organised, clean, and well-maintained. Handle incoming calls, emails, and correspondence, and direct them to the appropriate team members as appropriate. Handle office and team budgets, track expenses, and assist with accounting processes (e.g., invoices and receipts). Organise meetings, appointments, and office events, ensuring proper logistical arrangements. Handle the document management system and ensure records are properly stored and accessible. Liaise with vendors, service providers, and other external partners. Coordinate travel arrangements for staff, including booking transportation, accommodations, and itineraries. Assist in onboarding new employees and handle the office's personnel files. Implement and carry out office policies, procedures, and safety protocols. Provide administrative support to the executive team, as required. Provide general administrative support to team members, including scheduling meetings, arranging appointments, and handling calendars. Coordinate and facilitate internal and external communications, including emails, phone calls, and correspondence. Organise and maintain team documentation, files, and records, ensuring easy access to information. Assist with preparing presentations, reports, and other documents for team meetings or client-facing activities. Track team progress on tasks and projects, helping with deadlines, deliverables, and follow-ups. Assist with event planning and coordination for team activities or meetings, including logistics and preparation. Provide support in developing team budgets, tracking expenses, and submitting reports. Manage office supplies and equipment used by the team, ensuring resources are available when needed. Assist with coordinating team-specific training or professional development activities. Maintain a positive working environment by supporting team morale and fostering good communication. Carry out special projects or tasks assigned by team leaders or managers. First point of contact for the Building Manager (3rd party) regarding H&S and other building related issues. Follow up with appropriate contacts in the team or Samsung facilities where necessary. What we need for this role To be successful, you will possess the following skills and attributes: Confirmed experience as an office manager or administrative assistant. Strong organisational and multitasking skills. Excellent interpersonal skills, both written and verbal. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle sensitive information and maintain confidentiality. Experience with office equipment (printers, copiers, etc.) and software tools (e.g., project management tools). Proven experience in an administrative, assistant, or support role. Strong organisational skills and attention to detail. Proficiency in managing multiple responsibilities and coordinating tasks efficiently. Strong problem-solving skills and the ability to work independently or as part of a team. Flexibility to adapt to changing priorities and team needs.
