Here at Temporary Staffing Services (TSS) we help the trust provide staff for short term postings to cover areas of need for a variety of purposes and environments. We work closely with the teams to ensure we provide the right staff for the job and in doing so ensure continuity and safe practice in all our teams.
TSS have a bank of workers that provide the flexibility to meet the changing needs of clinical services across Cambridgeshire, and your role as a Bookings Co-ordinator will be to link the worker with the clinical service, booking people into shifts that come up using our IT Systems, liaising with Managers when shifts are needed, and continually ensuring that our workforce is utilised to maximum efficiency in order to reduce Agency spend across the trust.
As part of the TSS Team, you will become familiar with the other jobs within our service, upskilling you to provide support in different areas of the team and providing the flexibility in skills we ask of our workers in turn. You will work closely with the Payroll Coordinator, Compliance Team and Operational Lead, who will lead the team day to day in the office, whilst supporting the Clinical Lead in highlighting areas of concern or pressure for staff so that the Trust can be made aware.
The Booking Co-ordinator role is currently working from home with a view to a mixture of both home and office based in future.
The post holder will support the team in the booking of temporary staffing in accordance with correct practices and procedures.
The post holder will provide a professional call handling service for internal and external customers.
The post holder will ensure invoices are processed and authorised in a timely manner.
The post holder will ensure Trust policies and procedures are adhered to in the running of the service.

1. To deal efficiently with telephone calls, record incoming messages and relay to staff.
2. To liaise with ward managers and staff on requirements for temporary staffing, in sometimes difficult situations where tact or skills of persuasion are required.
3. Using the MAPS system, manage the placement of bank workers, ensuring optimum number of shifts covered.
4. To ensure all bank resources are maximised to keep external supplier usage to a minimum.
5. To communicate effectively with ward managers and staff on status of requests.
6. To liaise with external agencies to source suitable cover.
7. To work within a wide range of procedures and practices essential to the safe running of the service, and in line with Trust policies.
8. Paying attention to speed and high levels of accuracy, to process timesheets on the electronic rostering system as part of the weekly payroll.
9. To be able to competently judge situations around temporary staffing to ensure a safe level of cover is provided.
10. To assist in the effective monitoring and analysis of Working Time Directive for all bank staff, and take action on the finding.
