We have an exciting opportunity for an experienced Personal Assistant to join our Division of Surgery, Gastroenterology, and Anaesthetics. The role involves providing comprehensive secretarial and administrative support to the divisional leaders: Divisional Director, Associate Director of Nursing, and Associate Director of Operations.
As a strong team player with excellent communication skills, you will take responsibility for the day-to-day planning and prioritising of workload, proactively supporting the divisional team.
Your duties will include diary management, agenda preparation, minute taking, and typing reports. You should have excellent IT skills, proficient in Microsoft Office (including Microsoft Teams), and be capable of using IT and data reporting systems to support the leadership team in achieving divisional performance and quality objectives.
The role offers hybrid working arrangements—on-site and from home—with details to be discussed at interview. Meetings will be a mix of face-to-face and via Microsoft Teams. For face-to-face meetings, travel between Ipswich and Colchester will be required.
You will ensure effective administrative support for the Divisional Leadership Team, maintaining high-quality secretarial support and ensuring effective communication internally and externally. You should be adaptable to changes in service as directed by the leadership team.
The ideal candidate will demonstrate a 'can-do' approach, with a strong commitment to excellent service provision. Flexibility, initiative, and excellent organisational skills are essential. You must be able to work under pressure, prioritise workloads, and meet deadlines, with strong verbal and written communication skills for liaising at all levels.
