Position: Administrative Assistant
Location: Extonn, PA (ON-SITE)
Salary: $55,000 to $70,000
Job Overview:
The Administrative Assistant will be responsible for the day-to-day upkeep and general management of the offices at Pharmaron U.S. Lab Services and CGT, Exton. The successful candidate will be highly organized, detail-oriented, and proactive. The candidate will play a crucial role in the coordination and execution of a wide range of administrative and support functions to ensure the efficient and effective operation of the site.
Primary Responsibilities:
1. Meeting Coordination: Organize, and prepare meetings, draft agendas, distribute information or materials, and ensure follow-up on action items.
2. Travel Coordination: Arrange and coordinate travel, itineraries, hotel accommodations, and transportation.
3. Manage the front-desk and follow site protocols for visitors and vendors.
4. Assist with financial tasks such as reviewing and reconciling monthly expenses for executive team members.
5. Serve as the point of contact for internal and external stakeholders, including phone calls, emails, and correspondence.
6. Maintain confidential files, documents, and records, ensuring they are well-organized and easily accessible. Respond to various inquiries and requests for information as needed.
7. Collect and distribute mail and correspondence daily.
8. Assist with special projects, and other duties as needed.
What We're Looking For:
1. High school diploma or equivalent required; associate degree preferred.
2. Minimum of 3 years' experience as an administrative assistant, preferably in a CRO environment or similar industry.
3. Strong attention to detail and accuracy.
4. Excellent organizational and time-management skills.
5. Exceptional communication and interpersonal skills.
6. Ability to multitask and work effectively in a fast-paced environment.
7. Ability to maintain confidentiality and handle sensitive information.
8. Flexibility and adaptability to changing priorities and deadlines.
9. Advanced proficiency in MS Office Suite tools (i.e., Word, Excel, PowerPoint, Outlook).

Work Environment:
Work will be performed in a series of temperature-controlled office environments. Occasionally travel through laboratory spaces, or between buildings and sites. There will be no substantial exposure to adverse environmental conditions.
