JOB PURPOSE
As the Office Manager to the Chief Creative Officer (CCO ) at Burberry, you’ll take on a pivotal role in our Creative & Design functions to ensure the smooth and efficient running of the Office operations. Reporting to the Executive Assistant to the CCO, you’ll serve as the primary point of contact for both internal and external stakeholders, managing day-to-day administrative tasks, supporting high-level strategic initiatives and providing seamless support to the CCO and the Executive Assistant.
This Office Manager role is offered on a permanent, full time basis and will be based in our Horseferry House, London office 5 days per week.
RESPONSIBILITIES
* Partnering with the EA to the CCO on all aspects of the office to ensure seamless support to the Executive
* Be the gatekeeper for the office as first point of contact for all enquiries, and act as a link between the CCO Office and various teams to ensure that all needs are met and information is passed on appropriately
* Ensuring a VIP service for all guests and provide general support to visitors of the CCO, including meeting & greeting, offering refreshments etc
* Thorough understanding of departmental priorities and those of the Executive, using this to proactively manage diaries, requests and workload
* Processing expenses for CCO and Executive Assistant, as well as tracking of office overall spend, budgets, invoices and Purchase Orders
* Assisting in booking travel for the CCO, including logistics and itineraries
* Ensuring the CCO has all information/materials needed for meetings, liaising with Studio team to ensure correct equipment is set up for meetings
* Plan in-house or off-site activities, such as meeting rooms and restaurant bookings where needed
* Maintaining HR systems and team records (travel, sickness and holidays)
* Assist the CCO office with any ad-hoc needs including IT requests, corporate card applications, general enquiries, lunch, refreshments
* Ensure CCO office is stocked with stationary and printing materials at all times, as well as office maintenance with the inhouse facilities team
PERSONAL PROFILE
* Previous experience of working as an Office Manager to Senior Management/C-Suite
* Experience in the creative/design industry
* Strong administrative experience and organisational skills with the ability to multitask
* Professionalism and a high degree of confidentiality and integrity
* Ability to be flexible and to prioritise workload
* Strong communication skills including excellent written and spoken English, interpersonal skills and attention to detail
* Ability to remain calm in a high-pressure, fast paced environment
* Highly computer literate, particularly in Outlook, Word, PowerPoint and Excel
* Experience in using technology for meetings (MS Teams, Zoom etc.)
* Experience in Concur preferred
* Experience with using Ariba/SAP preferred
