The Role
We are seeking a proactive and organised Office Administrator based in Grays (Lakeside). This role requires a strong communicator capable of drafting professional documents and coordinating effectively with colleagues across multiple regions, including China. The ideal candidate will have excellent organisational skills, attention to detail, and the ability to manage multiple tasks in a dynamic environment.
Key Responsibilities:
Document Preparation and Management
* Draft, format, and proofread internal and external documents, including reports, memos, presentations, and other communication materials.
* Maintain document filing systems to ensure that records are accessible and up-to-date.
Communication and Coordination
* Act as a point of contact for communication between the UK office and colleagues in China and other European regions.
* Assist in coordinating virtual meetings across different time zones, preparing agendas, and ensuring efficient information flow.
* Draft and send email communications on behalf of senior management, as well as relay messages between departments and regions.
Administrative Support
* Manage office supplies and inventory; liaise with vendors and service providers to maintain office functionality.
* Handle administrative tasks such as data entry, record-keeping, and scheduling meetings.
* Assist with travel arrangements, accommodations, and logistics for team members.
Cross-Cultural Engagement
* Support smooth collaboration across regions by being mindful of cultural nuances and communication preferences.
* Assist in translating or adapting communication as needed to ensure clarity across teams.
Process Improvement
* Identify and suggest improvements to office procedures to enhance efficiency.
* Support the implementation of new systems, processes, or tools that can improve communication and collaboration across teams.
Requirements
* Strong written and verbal communication skills.
* Great customer-facing manner and ability to handle inquiries and complaints with professionalism and empathy.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Excellent organizational and multitasking abilities.
* Fluency in Chinese is beneficial but not required.
