Job Title Facilities & ESG Administrator Ref No. 4781 Job Location Leeds Work Type Full Time Description We are looking for a Facilities & ESG Administrator, known internally as Business Operations Administrator, to join our Leeds office, who will be responsible for providing administrative support to the national ESG and Business Operations teams in implementing and managing the ESG plan, Quality Standards, and processes to ensure compliance with legal requirements and best practices. This role demands a dynamic individual, who is able to support the firm's ESG strategy, as well as oversee the ongoing management and compliance of the ISO 14001 and ISO 45001 standards. You will also assist with Business Operations projects relating to auditing, facilities and services. Our Team This role will work within the firm's ESG group, as well as with the wider Business Operations team including UK Facilities Managers, Contracts Manager and local Team Leaders. You will report into, and work very closely with, the Sustainability Manager who is also based in Leeds. Our Opportunity The Business Operations Administrator will support the Sustainability Manager in promoting and maintaining visibility of the firm's ESG strategy and long-term environmental goals. You will collate, verify, and manage the firm's environmental performance data to support efforts in reducing the firm's environmental impact. Further, the role involves assisting in the implementation and management of the firm's sustainable procurement policy and principles, including ESG auditing of the supply chain, as well as engaging with suppliers to collaboratively enhance supply chain ESG performance, sharing best practice methods and industry knowledge. You will update and track the firm's health and safety performance data, identifying trends to support continuous improvement. You will support the Sustainability Manager and Head of Business Operations in preparing for internal and external audits relating to ISO 14001 and ISO 45001 Management Systems. You will be involved in maintaining and updating Business Operations working practices across all four UK offices, ensuring Quality Standards reflect any procedural changes. The role involves providing support to the Head of Business Operations in planning and implementing ad hoc projects relating to compliance, facilities, and services, aligning with the firm's operational requirements, regularly reporting on the progress and completion of all ongoing projects and providing administrative support for successful project delivery. You You will be a highly organised self-starter with the flexibility to work outside core hours and travel to different locations when required. You will have the ability to assess Business Operations and client needs and strong communication skills, with the ability to engage effectively at all levels, actively listen, and provide clear input and feedback. We are seeking someone who is proficient in analysing, interpreting, and presenting numerical and analytical data in a structured report format, as well as someone with a basic understanding of Business Operations and Environmental and Health & Safety Management Systems. You will need to demonstrate a positive attitude and professional demeanour in all interactions, and have a proactive, business and client focused 'can-do' approach, with the ability to prioritise effectively using initiative. We need a dependable team member with excellent time management and punctuality, and someone who consistently delivers results in line with specified standards. Strong IT skills are essential, including Microsoft Office applications, specifically Excel. You need to be able to quickly adapt to new systems. Previous experience of working in Business Operations, Sustainability, ESG Strategy and/or Environmental Management is desired, as is familiarity with Environmental, Health and Safety compliance including legal requirements, ISO 14001 and ISO 45001 Management Systems, and any other related Business Operations quality standards.
