This is a fantastic opportunity to work with the Legal Director of Sopra Steria. The primary role is to support the Legal Director in their role, which will involve a wide variety of tasks and responsibilities both directly for the Legal Director and to ensure the proper functioning of the Legal team. The successful candidate will need to engage with detailed administrative tasks that must be completed with a high level of accuracy. You will be a problem solver who enjoys a busy and varied workload and engaging with multiple stakeholders across the SSL businesses at all levels of the organisation. This role will suit a practical and detail-oriented individual, happy to multitask and work in a fast-paced environment. You will be confident in working without day-to-day supervision and in interacting with the Legal, Privacy and Counter Fraud teams who report to the Legal Director, as well as C Suite Executives and the wider business. We offer flexible and hybrid working with travel to our central London office required on average once per month. What you will be doing: Direct support to the Legal Director: Manage diary appointments, and coordinate internal and external meetings and book travel Screen and control incoming mail and telephone calls, drafting responses, redirecting, or obtaining additional information on own initiative. Deal with business and personal information of a highly confidential nature and assess restrictions. Willing to push back robustly to prevent over commitment Assist with production of power point presentations/documentation as required Network with EAs across the business and ensure positive working relationships Ad hoc tasks as assigned Legal department administration: Process law firm invoices for department including all associated tasks such as raising Pos, obtaining cost centres, liaising with law firms Maintain Legal Department budget tracker and coordinate with lawyers to ensure accuracy Organise team meetings, co-ordinate agenda items, keep minutes and chase actions Support requests from the business for information held within legal Co-ordinate provision of insurance certificates with Group Assist the Company Secretarial function administration of Board meetings including loading of papers in Onboard Support organisation of Legal function conference and events Monitor department mailboxes to ensure timely pick up of external emails Act as administrator for DocuSign including loading of contracts for signature Maintain document sites Coordinate with the Projects Lawyer in relation to efficient department administration What you'll bring: Have complete integrity, and ability to maintain confidentiality Administrative background within a busy function or as a legal secretary Strong organisational skills Excellent analytical skills with understanding of how to interpret data and strong attention to detail.
