Part Time Corporate Receptionists X2
Based on site at Rolls-Royce, Derby
Days of work: Wednesday, Thursday, and Friday
Shifts: either 7am (7am Friday) or (Friday)
You will be based at one location but may be required to cover sickness or leave at other local Rolls-Royce sites.
We are looking for highly self-motivated and passionate team players with great attention to detail.
The key focus for this role will be to create a single and visual point of contact for client visitors and employees and to act as the primary interface between the internal operations of stakeholders and its clients, providing services to the highest possible standards as well as representing the client and JLL values in appearance, presentation, and manners.
You will take ownership and manage the front of house experience, help orient and settle new and visiting staff, and support the facilities management team in providing a great workplace experience while providing the necessary support for business-related events and community-based initiatives.
In this role, you will bring your people-focused skills including strong stakeholder management and relationship building, continuous engagement, and communications as well as your ability to proactively support the needs of our staff, clients, and business partners. Your ability to proactively resolve queries and issues will be the cornerstone of your success in this role.
What this job involves:
Customer Service:
* Greet, assist, and direct candidates/new hires/visitors and the general public to the appropriate staff member.
* Receive, direct, and relay telephone, email, and other queries.
* Administration of parking spaces for visitors and employees (where applicable).
* Arrange taxis for client staff and visitors as requested.
* Book onsite meeting rooms and hospitality as per client requests and according to site procedures.
HSE, Security & Quality:
* Liaise with site managing agent and site security.
* Demonstrate a permanent high level of security awareness, knowledge of emergency evacuation procedures, procedures for visits from local authorities, as well as general Health & Safety.
* Issuing of ID and access badges for new hires/vendors/visitors and maintaining records of the same.
* Monitor and maintain office and badge consumables in line with agreed stock levels.
* Maintain the security sign-in book.
* Carry out site induction for new starters and act as the first line of support for any concerns raised.
* Understand & actively support JLL’s Quality Management program.
Site Operations:
* Conduct daily meeting room and office checks as required by the Workplace Manager.
* Prepare & serve hot beverages, layout & clear away catering as required.
* Manage all the requests on the Facilities helpdesk and liaise with service providers.
* Handle/Assist with incoming and outgoing mail enquiries according to existing procedures.
* Assist in coordinating the repair and maintenance of office equipment and in the ordering of office supplies.
* Keep accurate and updated records of the seating plan.
* Ensure accurate and detailed handover is planned & passed on (for tasks within responsibility), if absent from the business.

* Computer Literate – good understanding and working knowledge of office software.
* Good level of written and oral communication skills. An influential communicator, with the ability to deliver clear and concise messages and identify mutually agreeable solutions.
* Proven track record of achievement.
* An ability to understand problems, their impact, and provide resolutions in a timely manner.
* Feel empowered to take action and resolve issues quickly and thoughtfully.
* Excellent time management and organisational skills.
* Ability to work under pressure and to tight deadlines.
