Position summary
This is an exciting opportunity to join a growing agency and provide key support to a dynamic and friendly team of project managers, producers and creatives.
This role will be a combination of day-to-day operations and commercial activities, general administration and ad-hoc projects to support the creative process.
The successful candidate will possess strong multitasking skills, excellent attention to detail, and the ability to handle a variety of responsibilities with discretion, professionalism and autonomy.

Who you are…
* Able to work in a small team environment both in-person and remotely
* Self-motivator as sometimes working alone will be required
* Proactive and commercially aware to see the bigger picture of the business and increase efficiencies
* Ability to set up processes and hone existing systems to better serve clients, suppliers and the internal team
* Excellent communication skills – visual, written and spoken
* Advanced knowledge and experience with Microsoft Suite (Google Suite knowledge a bonus!)
* Experience of working with commercial finance and payment systems such as Xero or a similar accounts package (Understanding of European VAT is advantageous but not essential)
* Flexible attitude to work requirements – the below responsibilities are key parts of the role but, as a part of a small team, everyone is expected to pitch in with other parts of the business
The main day-to-day responsibilities of the role include…
Business & office operations
* First point of contact for clients and suppliers calling the agency
* Managing both a virtual and physical office (Telephones, Microsoft Teams, SharePoint, licenses, online accounts etc.)
* Liaison with external contractors and landlord on office matters
* Planning and implementing essential office services such as printing, post, archiving, cleaning, waste disposal and recycling
* Stocking office with supplies – stationery, good coffee, healthy snacks!
* Liaise with IT Director and HR Director to ensure policies and procedures are up to date and adhered to
* Oversee IT helpdesk provider
* Ensure current and up-to-date insurances across the business
* Assisting with the management and upkeep of marketing tools such as CRM, website and social media
* Resource management (sourcing and managing inventory of uniforms and event equipment)
Commercial management
* Supplier management including the setting up of new vendors, contracting, price negotiations, commission tracking, invoice input and management
* Assist the Managing Director and IT Director in specifying, implementing and managing a new Enterprise Resource Planning system (ERP)
Project operations
* Raising client and supplier NDA’s contracts and PO’s
* Proofreading documents such as proposals and project plans
* Proofing project budgets
* Assisting with project reconciliation
* Data management of registrations and logistics support on events
* Accommodation research, booking and commissions
* Manage office H&S and assist the project team with onsite H&S packs
* Supporting the team with research from identifying new experiential trends, unusual venues, and sourcing materials for installations
Team management
* Facilitate the onboarding and offboarding of team members including updating information for payroll
* Organise regular team meetings, travel arrangements, and celebrations
* Managing team meetings by coordinating diaries, collating agendas and producing minutes
* Manage our team benefits and Employee Assistance Programme
* Keeping Bright HR up to date including leave, absences, and training opportunities
Client management
* Organise regular client hospitality events
* Organise client and supplier gifting
Marketing support
* Administrating the marketing plan by managing timelines and liaising with freelance resources
* Update websites using Wordpress (training will be given)
* Updating and sending out brochures and credentials documents
* Updating social media channels including LinkedIn, Instagram and TikTok
* Ensure image library is up to date and filed correctly
Sustainability & social responsibility
* Champion sustainability processes and maintain data records
* Look after the administration of our team’s charitable work
Where we work
Our office is based in Staines-Upon-Thames
This role will be Hybrid in nature, with an expectation to be in the office 3 days per week. The rest of your working hours can be performed remotely.
The Agency Manager would also be required to attend the office when necessary to manage meetings, deliveries, and suppliers.
Normal working hours are 9.00am - 5.30pm, Monday-Friday with events sometimes taking place during evenings and weekends.
The company supports flexible working arrangements subject to business needs.
This role also offers the opportunity of working on-site at events to assist the team.
