Public Health - Championing Community Well-being
We are looking for an enthusiastic Wellbeing Admin Assistant to support our Health Improvement team who play a pivotal role in helping people across Wiltshire to improve their health and wellbeing.
Main duties of the job
As a Wellbeing Admin Assistant, you will work with the admin team to support our Health Coaches in the Wiltshire Health Improvement Hub. You will be the go-to person for managing our Single Point of Access, including its marketing and promotion. You will be the first point of contact for our clients; you will handle client enquiries, triage referrals and maintain accurate records with a predominant focus on stop smoking clients due to the role being funded by the smokefree grant.
Confidence and professionalism in interacting with people at all levels - face-to-face, in writing, and over the phone - are essential. Previous experience in administrative or customer service roles is also essential.

Job responsibilities
Specific duties and responsibilities include:
To support the Single Point of Access as part of the Health Improvement Coach service to triagereferrals to the most appropriate service.
To support the Public Health Practitioner Manager for Health Improvement Coach service andPublic Health Practitioner for Weight Management Service on administration support includingmarketing and promotion of the Single Point of Access.
To provide a full range of administrative support to staff in the Health Improvement Coach andWeight Management service.
To participate in the daily processing of all communications/postal systems operating acrossoffices to ensure that efficient systems are maintained.
To participate in the provision of high-quality front-of-house service acting as first line contact for
o Receiving enquiries and actioning as appropriate
o Providing information and guidance to members of the public using Making Every Contact.Count (MECC) style conversational skills.
o Ensuring urgent matters are referred to appropriate team member
o Maintaining an accurate resource/information base and appropriate records
o Maintaining meeting room diary booking systems and ensuring rooms are cancelled if notrequired
To provide information to all enquiries contacting the service, liaising as necessary withcolleagues in the Public Health team. Using the referral pathways to refer clients appropriately.To ensure all referrals are recorded accurately, using IT and manual systems. To progress,chase and track information to ensure all systems are maintained and updated.
To respond flexibly to the administrative needs of the Health Improvement Coach and WeightManagement service.
Person Specification
Qualifications
* GCSE A - C or equivalent experience/skills
* ITQ 2 or equivalent ICT skills and abilities.
Experience
* GCSEs/ NVQ Level 2 in Administration or equivalent including English at Grade C or above
* Excellent ICT skills including Microsoft applications, particularly Word
* Previous general office experience, within a large and complex organisation
* Proven ability to communicate with and relate to members of the public and professional staff,
* either face-to-face or via the telephone.
* Able to deal with distressed people in a calm and appropriate manner.
* Capable of working as a member of a team and to contribute to the effectiveness of the service.

* Able to be flexible and fully responsive to competing demands on a daily basis, prioritising own
* Proven ability to offer high levels of accuracy, attention to detail and to produce work of a high
* standard.
* Able to gain knowledge and impart information to others.
* Skilled at achieving high levels of professionalism, maintaining absolute confidentiality, whilst
* working with sensitive information and operating within GDPR guidelines.
* Committed to own personal development and to demonstrating continued learning.
* Able to demonstrate understanding and knowledge of equalities issues and anti-discriminatory

* Good standard of written and spoken English
* Experience of operating in a pressurised environment and of meeting tight deadlines.
* Experience of working in a Public Health/Health Promotion role/service.
* Attended training on Making Every Contact Count and utilise healthy conversational skills
