Business Support Assistant - North West Fire Control
North West Fire Control is a regional emergency fire control centre that handles 999 calls, mobilises fire engines and specialist response teams from the Fire and Rescue Services in Cumbria, Cheshire, Lancashire and Greater Manchester to life-threatening emergencies and provides ongoing incident support.
North West Fire Control is looking for enthusiastic and committed individuals to join our amazing team.
You will be working as an integral member of the business support team, acting as the front-facing representative for North West Fire Control.
Hours of work are Thursday 0800 - 1700hrs and Friday 0800 - 1600hrs job share. You will need to be able to work 5 days a week to cover annual leave for your co-worker.
You will be working alone in the front reception office, so it is vital you hold a confident proactive approach to your work and provide a professional but friendly approach to all our visitors.
We are a small team, so flexibility, helpfulness, and a can-do attitude are really important alongside excellent organisational and administrative skills.
Key Responsibilities
1. Greeting visitors and answering incoming telephone calls acting as a first point of contact in a professional and courteous manner.
2. Providing administrative support and assisting the smooth-running of the business.
3. Using a variety of Microsoft Office software packages including Word for word processing, Excel for inputting data and updating spreadsheets, PowerPoint for presentations, and Outlook for email and calendar management.
4. Ensuring the accurate collection and administration of documents, maintaining electronic and paper systems to be accurate, up to date and relevant.
5. Contributing and promoting North West Fire Control code of ethics supporting everyone in the organisation to be Fire Control Professionals.
6. Monitoring and responding to incoming emails.
7. Meeting room administration – booking and coordinating all meetings held at North West Fire Control.
8. Recording and processing all incoming and outgoing mail.
9. Raising purchase order numbers and processing invoices.
10. Maintaining and managing stationery and uniform stock levels and placing orders.
11. Contributing to promoting a culture of excellence and continuous improvement at all times.
12. Complying with all company policy, guiding frameworks and legal requirements especially equality, diversity, fairness & dignity in the workplace and Health and Safety.
Person Specification
1. Reliable, flexible, and a team player.
2. Demonstrates a good level of literacy and numeracy with maths and English to GCSE level or equivalent.
3. Excellent communication skills, both written and verbal, with good attention to detail.
4. Good knowledge of Microsoft Office including Outlook, Word, Excel, and PowerPoint and a broad range of administrative skills.
5. Proactive approach to work, confident in your ability to work alone and within a team environment.
6. Customer service driven with a positive attitude towards work.
7. Strong organisational skills with the ability to manage pressure and conflicting demands and prioritise tasks and workload.
8. Conscientious approach to tasks to achieve and maintain excellent standards.
9. The ability to communicate effectively at all levels including senior management, elected councillors, and members of the public by telephone and in person.
10. Proven experience of working through complex problems to a satisfactory conclusion.
11. Experience of working in the public sector or within a structured and formal working environment.
12. Demonstrates an understanding of equality and diversity and experience of embedding a fair and ethical approach to others.
Salary: £24116.14 per annum pro rata.
