PROMOTION OF THE FIRM
The secretary will be expected to promote the services of the firm and be alert when acting for clients of other legal services they may require, referring clients according to the SQM signposting and referral procedure.
RESPONSIBILITIES
1. Typing all correspondence, legal documents, and attendance notes.
2. File management, including putting together files for clients, ensuring all forms are included, and all correspondence is accurately placed on the correct files in chronological order.
3. Dealing with all telephone messages, booking appointments for clients, and taking initial details over the telephone from new clients.
4. Taking calls from the Police and Duty call centre constabulary and locating a Partner to take the call.
5. Filing and any other related administrative duties.
6. Ensuring all dates related to a client’s case are put in the diary and communicated to clients on the telephone.
7. Coordinating with third-party professionals in relation to clients' cases.
8. Booking appointments, interviews, and conferences.
9. Archiving completed matters.
CLIENT CARE
Dealing with clients in a professional, polite, and friendly manner while providing information regarding the operation of this practice.
ADMINISTRATION DUTIES
1. Inputting client data onto the computer.
2. Dealing with post at the end of the day.
3. File Management.
4. Booking Appointments.
TRAINING AND DEVELOPMENT
Induction procedure for all staff, including training on confidentiality, money laundering, signposting, referrals, CLSP protocol, and professional conduct of solicitors. Attending all external courses as agreed at partner meetings and informing the firm of any training and development requirements that improve job performance and benefit the practice.
