Job Title: Contract Support Administrator\n\n Location: Hertfordshire\n\n Job Overview: The Contract Support Administrator will assist with the management, administration, and coordination of contracts within the organization. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously while ensuring compliance with company policies and regulatory requirements. The Contract Support Administrator will collaborate with internal teams and external stakeholders to support the lifecycle of contracts from creation to completion.\n\n Key Responsibilities:\n\nContract Administration:\nAssist in the drafting, reviewing, and editing of contracts, ensuring all terms and conditions are accurately reflected.\nTo answer phone calls / emails on the helpdesk and aid customers.\nBuild a close working relationship with the Contract Managers / Field Operatives to ensure continuity of client knowledge and activities and to liaise with then over Maintenance visits.\nArrange client callouts as required.\nTo issue PPMS for the site engineer’s using our online software package\nTo ensure engineers have logged off PPM’s and chase for updates.\nTo deal with day-to-day emails regarding extensive range of contracts managed\nTo check & approve engineer time sheets each week.\nTo organize specialist PPM visits & ensure they are undertaken within contract SLA period.\nObtain specialist service sheets and ensure site files are up to date in line with BSI audits.\nAdvise Client, site engineer and Contract Manager of any remedial works resulting from PPM visit and provide quotation.\nMaintain a central contract database, ensuring contracts are stored securely and are easily accessible.\nMonitor contract timelines and deadlines, ensuring timely renewals, extensions, and amendments are processed.\nSupport the preparation and submission of contract-related documentation to relevant stakeholders.\nEnsure all contracts, amendments, and supporting documents are properly filed and maintained.\nMaintain accurate records of all correspondence related to contract negotiations and performance.\nAssist in the preparation of reports and presentations regarding contract status, obligations, and performance.\n\nCompliance and Reporting:\nEnsure that all contracts comply with legal, regulatory, and organizational standards.\nAssist in the preparation of audits related to contracts and agreements.\nTrack key contract performance metrics and assist in preparing periodic reports for senior management.\nRequired Skills and Qualifications:\n\nProven experience in contract administration, legal support, or related administrative roles.\nStrong organizational skills with the ability to manage multiple priorities and meet deadlines.\nExcellent written and verbal communication skills.\nDetail-oriented with a high level of accuracy in handling contract documents.\nProficient in Microsoft Office Suite (Word, Excel, PowerPoint) and contract management software.\nAbility to work independently and as part of a team in a fast-paced environment.\nPreferred Qualifications:\n\nExperience with contract lifecycle management systems or the contract management software Evolution.\nSalary & Package: \n\n25 - 29K - depending on exp.\nBupa Healthcare\n20 days holiday + bank\nOffice based role Monday to Friday - 8.30 - 5
