Job Overview
An exciting opportunity has arisen for an enthusiastic individual to join the Undergraduate Centre at Russells Hall Hospital as a Receptionist/Administration Support. The post holder’s primary responsibilities will be to provide a professional front line customer service for the Centre. The successful candidate will possess excellent customer service, organisational and administrative skills with an ability to communicate professionally with all levels of staff within the Trust.
Main Duties of the Job
1. To provide a professional front line customer service in person and/or by phone or email within the Undergraduate Centre.
2. To refer telephone callers appropriately to the right team members and direct visitors to the appropriate centres/staff.
3. To provide administration support on a range of medical educational programmes to support the professional running of the Undergraduate Centre.
Person Specification
Qualifications & Education
* Educated to GCSE (Grade C/Level 4 or above) or equivalent, to include English Language and Maths.
* NVQ Level 2 in Business and Administration or equivalent.
Knowledge and Training
* Ability to deal positively with different personalities in a customer service environment.
* Accurate keyboard and data entry skills.
* Working knowledge and strong IT skills to include experience of Microsoft Office/Teams.
Experience
* Experience of working in a busy reception/office environment.
* Dealing efficiently and politely with both internal and external queries.
* Previous experience working as part of a team.
Communication and Relationship Skills
* Effective interpersonal, written and oral communication skills.
* Ability to deal with queries tactfully and professionally in a timely manner.
Analytical and Judgement Skills
* The ability to understand when to escalate a query to their line manager.
* The ability to understand how to use the resources available to them.
Planning and Organisational Skills
* Can prioritise tasks appropriately in line with workload and in order to meet deadlines.
* Can organise multiple room bookings and is able to effectively plan ahead for these bookings.
* Flexibility with hours to cover reception between 7.30 am and 5.30 pm as part of a rota, with some lone working required at either end of the day.
Physical Skills
* Able to work across both Education Centres.
* Requirement to move IT equipment/furniture to set up meeting rooms.
