About this role
The Assistant will provide comprehensive support to the Managing Director and Creative Director at Double Dutch, as well as supporting the Development Producer’s diary. This is the perfect role for someone who is highly organised, efficient and has an interest in scripted TV. We are looking for someone who will be able to maintain confidentiality and thrives in a busy, fast paced environment whilst managing their schedules, individual productions, and projects. It’s crucial that you can manage a very fluid production and development meetings diary. You will be professional, proactive, and adaptable, ensuring that their differing needs and priorities are met. We are a creative and social team, so you will need to be a team player. In addition, you will be liaising with key talent within the industry so excellent interpersonal and communication skills are a must.
Duties
• Provide extensive and proactive diary management to the Managing Director, Creative Director, and Development Producer.
• Organise and prioritise meetings and deal with conflicting appointments. Arrange conference/video call links and room bookings for meetings.
• Liaise with writers, directors, producers and their agents to check availability.
• Field all telephone calls and email queries, prioritising any requests and flagging when a response is required.
• Ensure that the team have all the necessary documentation (e.g., scripts, treatments, client lists, CVs) for meetings in a timely manner.
• Arrange domestic and international travel, accommodation, hire cars and itineraries.
• Manage monthly business credit card statements and expenses.
• Greet visitors and arrange hospitality for meetings, including drinks and lunch orders.
• Log and track reading submissions and viewing material, including updating and circulating a reading list on a weekly basis.
• Prepare and update a prioritised weekly to do list of anything outstanding/requiring the team’s attention.
• Create and maintain effective physical and digital filing system and central referencing file of working budgets, schedules, call sheets, rushes and progress reports.
• Act as a contact point for the team across each production. Liaise with the various production offices daily and take responsibility for all scripts and notes being saved on the system.
• Purchase gifts for external personnel on behalf of the team.
• Keep track of department subscriptions and ensure they are renewed annually.
• Organise screening and readthrough events, working within a budget. Compile invitee lists, scout venues, manage RSVPs and oversee all catering and technical requirements.
• Keep track of development project agreements and flag to the team when these are due to expire with plenty of time to action.
• General administrative duties including amending documents, printing and photocopying, binding, proof reading and purchasing office equipment where required.
Knowledge & Skills
• Experience of working within a busy TV, film, theatre or agency environment as an assistant or with proven administrative experience is essential.
• Proficient IT user – Outlook, Word, Excel, PowerPoint, Adobe.
• Highly organised with an ability to meet deadlines by prioritising tasks.
• Able to work calmly under pressure.
• Excellent time management skills and ability to manage conflicting demands.
• Attention to detail.
• Ability to be discreet when handling sensitive and highly confidential information.
• Excellent communication and interpersonal skills.
• Ability to work collaboratively as a team but is also motivated to work individually.
• Have an enthusiastic attitude towards your work and the desire to be flexible and work through difficulties that may occur.
