About the Role:
We are seeking a dedicated Administrator to join the organically grown administration team and contribute to the efficient running of the office. In this role, you’ll play an integral part in supporting both clients and internal teams, ensuring the smooth operation of the administrative functions and maintaining high standards across all tasks.
As the Administrator, your responsibilities will cover a wide range of administrative duties, including client onboarding, managing documentation, assisting with billing, and handling various day-to-day office tasks. This role is perfect for someone who is highly organised, thrives in a fast-paced environment, and is committed to delivering exceptional service.
Key Responsibilities:
5. Preparing new client forms and ensuring the smooth onboarding process for new clients
6. Liaising with Client Managers to ensure all client documentation is correct and up to date
7. Maintaining client records and organising files in respective client folders
8. Managing inboxes and diaries for team members
9. Assisting with billing administration and supporting credit control tasks
10. Managing office supplies and inventory, including ordering and receiving supplies
11. Maintaining and organizing office filing systems, including scanning and filing documents
12. Handling incoming mail and packages, managing shipping, receiving, labelling, and distribution
13. Assisting with filing and referring documents within the office filing system as needed
14. Typing letters, reports, and professional documents
15. Filing statutory documents with Companies House and HMRC
Best attributes suited to the role :
16. At least 2 years of experience working in an accountancy practice
17. Experience with IRIS, XERO, or similar accountancy software is beneficial
18. Ability to work efficiently in a fast-paced environment
19. Strong organisational skills with a keen eye for detail
20. Comfortable with technology, including Microsoft Outlook, Excel, and Word
21. Ability to work well in a team environment and support colleagues as needed
22. Capability to work independently, managing and prioritizing tasks effectively
23. Excellent communication skills and ability to interact with stakeholders at all levels
24. Discretion and confidentiality when handling sensitive information
