Data Security and Protection Support Administrator

Job overview
Our Data Security and Protection Support Administrator will support the Data Security and Protection Lead/DPO in ensuring the Trust meets its statutory and regulatory obligations. The focus will be on the Data Protection Act 2018, Freedom of Information Act 2000, NHS Confidentiality and Information Security Codes of Practice, and Information Quality Assurance. Additionally, this role includes supporting the management of the Data Security & Protection Toolkit and Information Governance Management.
Main duties of the job
* FOI Request Processing: Handle Freedom of Information (FOI) requests for the organisation, escalating when necessary.
* Administrative Support: Provide administrative assistance to the IG team, responding to emails, answering phone calls, and maintaining communication channels.
* Guidance and Liaison: Liaise with colleagues across the organisation, offering guidance on data protection and information governance issues.
* System Access and Maintenance: Maintain access to the DSP toolkit, Incident Management System, SharePoint, and other relevant platforms as requested.
* Breach Review: Support with incidents involving confidentiality breaches within the Trust’s incident system which are to be reviewed by the IG team.
* Information Asset Register: Support with the upkeep of the Information Asset Register.
* Service Desk Support: Log in to the Service Desk to support with queries directed to the IG team.
* Signposting: Direct members of the public and other organisations to the appropriate contacts within the trust or IG team.
* Independent Work: Manage personal workload independently, following established policies and procedures.

The Information Governance team plays a crucial role in raising awareness of information governance in a healthcare environment. The IG team is the primary source of guidance for Data Protection and GDPR issues, adopting strong working relationships across the organisation. The Trust is responsible for providing Health and Social Care services in Torbay and South Devon and currently employs a workforce of approximately 7000 staff.
Detailed job description and main responsibilities
* Collaborate with the IG team and Trust’s DPO on various tasks.
* Provide support to staff with information governance-related queries.
* Assist the DSP lead in gathering information for the DSP toolkit.
* Monitor generic email accounts.
* Process and manage FOI requests, ensuring timely responses and escalating as necessary.
* Support with reported confidentiality breaches to the IG team.
* Assist with the integrity of the Information Asset Register.
* Maintain access to critical systems and platforms, including the DSP toolkit and incident management systems.
* Respond to Service Desk queries and manage personal workload according to defined policies and procedures.
This role will not have any direct staff or budgetary responsibilities.
Person specification
Qualifications
* Proven administrative and ICT experience.
* Knowledge of Microsoft Office IT applications.
* Good standard of education (GCSE’s A-C).
* NVQ Level 2 or equivalent.
* Ability to demonstrate a methodical and accurate approach to administrative matters.
* Ability to work to competing demands and to prioritise accordingly.
* Ability to accurately input large amounts of information to various computer packages.
* Ability to observe confidentiality when dealing with information.
* Effective interpersonal skills including communication and listening skills.
* Ability to deal patiently with people with communication difficulties.
* Ability to work effectively as part of a team and also to work individually with initiative.
* Understanding/knowledge of NHS administration.
* Knowledge of Data Protection, Freedom of Information or Information Governance.
* Experience of undertaking data maps and confidentiality audits.
* Prior experience of working in an office setting.
* Knowledge of health service and terminology and the NHS.
