We currently have an exciting opportunity to join our Surgical Division as a full time Rota Manager. The post provides an excellent opportunity to further your career as a healthcare administrator, working within a thriving medicine service.
We are looking for someone with good experience within the NHS, who is enthusiastic and willing to learn. You will need to have excellent communication skills and be able to demonstrate that you can work strongly within a team. Time management skills are also essential as you will need to balance the demands of a very busy workload.
To support the Surgical Division and Senior Health teams by managing the rotas from an administrative perspective to provide effective and efficient staffing levels for clinical cover of the department. The post holder will produce and co-ordinate medical staffing rotas, co-ordinate annual leave and study leave for all Junior Doctors. They will act as first point of contact for issues relating to junior doctors, e.g. organising locum cover as required.
Main Duties/Key Results Areas:
Rota:
1. Produce the doctors’ rotas based on master rotas and co-ordinate changes to these rotas.
2. Implement changes to rotas as agreed with the Service Managers (SM) and Consultant Leads ensuring effective communication to all medical staff.
3. Ensure rotas are monitored in line with legislation.
4. Escalate any problems with monitoring of rotas and monitoring outcomes to the Service Managers and Consultant Leads who will action accordingly.
5. Support the Service Manager and Consultant Leads with administration following monitoring outcomes.
6. To manage the rotas in emergency situations including during periods of industrial action.
7. Responsibility for the operation of electronic systems of rota management, supporting with the introduction of any new electronic management systems.
Leadership
1. Manage sickness and annual leave of Junior Doctors to ensure safe staffing levels are met.
2. Co-ordinate all Junior Doctors request for study leave and annual leave prior to the request being presented to the relevant Consultant or manager.
3. Support the Consultants in the management of Junior Doctor Sickness.
4. To support the Deputy General Manager (DGM) with budget management for medical staffing on a monthly basis.
5. To ensure all Doctor contact details are kept up to date and adhere to information governance rules.
Communication
1. Act as the first point of contact for the Surgical Departments Staffing issues, (e.g. exploring the need for Locum cover), ensuring that relevant issues are discussed with the Service Manager and/or Care Group Lead.
2. To support in the resolution of any pay issues to Medical Staffing and Staff Bank as appropriate, and to escalate when necessary.
3. Coordinate, produce and distribute all junior doctors induction packs and liaise with consultant staff in the delivery of the specialty induction programme.
4. Work with the consultant body to deliver a comprehensive induction for all new starters, including agency staff. This would involve presenting during induction weeks for rotating medical staff.
5. Act as the link between junior medical staff and Care Group Lead/Service Manager, ensuring that issues raised by the junior doctors are highlighted in the appropriate forum.
Locum Doctors
1. Identify gaps in the rotas and provide cover solutions including locum doctors as and when required.
2. To support with requesting Agency Doctor usage as and when required.
3. Create innovative ways to attract, recruit, and manage bank staff and keep them fully engaged.
Other Duties
1. To lead on the organisation of work experience/clinical observership placements in the Surgical Departments.
2. To be a requisitioner on Oracle to support with the ordering process in Surgery where required.
3. To support the department with their intranet updates, to ensure all policies and pathways are kept up to date.
