Priory Hospital Barnt Green is located in the stunning Lickey Hills Country Park, 10 miles south of Birmingham City Centre. We have thirty-three beds across three wards including a ten bedded female NHS Psychiatric Intensive Care, a thirteen bedded mixed gender NHS acute service, and a ten bedded private acute ward beds for both men and women.
In addition to providing inpatient services, the hospital has a large Outpatient Department, a Daycare Service and regional conference facilities. These services are expanding to include pathways in ADHD, Autism and potentially CAMHS this year so this is a fantastic and exciting time to join our Therapy Team.
We support a wide range of clients and needs from referral systems including Consultant Psychiatrists and PMI Companies. The General Site Administrator plays a critical role in providing administrative support to the Hospital and ensuring the efficient operation of the organisation's administrative functions. This role requires strong organisational and communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Administrative Support:
1. Provide administrative support to the Senior Management Team (SMT), including scheduling meetings, preparing agendas, and taking meeting minutes.
2. Assist with the preparation and distribution of internal communications, memos, and reports.
3. Maintain electronic and physical filing systems, ensuring that documents are organised and easily accessible.
4. Coordinate travel arrangements and accommodations for SMT members as needed.
Office Management:
1. Assist with the onboarding process for new employees, including setting up workstations and providing necessary office supplies.
Data Management:
1. Assist with data entry and database management tasks as needed.
2. Compile and organize data for various reports and presentations.
3. Ensure the confidentiality and security of sensitive information at all times.
Event Coordination:
1. Assist with the planning and coordination of company events, meetings, and conferences.
Qualifications:
1. High school diploma or equivalent; additional certification in office administration or related field is a plus.
2. Some experience as an administrator (not essential).
3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
4. Excellent communication and interpersonal skills.
5. Strong organisational skills with the ability to prioritise tasks and manage time effectively.
6. Attention to detail and accuracy in all aspects of work.
7. Ability to maintain confidentiality and handle sensitive information with discretion.
8. Flexibility to adapt to changing priorities and work well under pressure.
Working Conditions:
This position typically operates in a professional office environment. Regular working hours, Monday to Friday, with occasional overtime as needed. May require occasional lifting of office supplies or equipment.
