Join the Babipur team as our Finance & Office Operations Assistant!
We’re looking for an organised and detail-oriented individual to support our financial and operational tasks on a part-time basis, working approximately 20 hours per week (4-5 hours a day, Monday to Friday). In this role, you’ll help keep our records up-to-date, assist with reorders of inventory, and ensure invoices are accurate and organised. You’ll also support one of our directors with daily admin tasks to help keep everything running smoothly.
What You’ll Be Doing:
Daily QuickBooks Management: Maintaining accurate financial records by processing daily entries, tracking transactions, and keeping accounts up-to-date.
Inventory Reordering & Supplier Coordination: Handling the admin side of reordering inventory from our suppliers, building strong relationships and a network of supplier contacts, and ensuring stock is ordered accurately under the guidance of our directors.
Spreadsheet & Report Preparation: Creating and updating spreadsheets to organise sales, supplier data, and other relevant information; generating straightforward sales reports using Shopify apps and tools for directors.
Invoice & Credit Management: Organising and verifying all invoices, monitoring for discrepancies, managing credit notes, and ensuring they’re used accurately.
Director Support: Assisting one director with managing emails, organising information, and handling correspondence as needed.
What We’re Looking For:
Proficiency in accounting software for basic accounts and daily record-keeping.
Excellent organisational skills with experience in creating spreadsheets to support admin tasks and reporting.
Confidence in working with Shopify and using related apps to generate reports and organise data.
Strong interpersonal skills for building effective relationships with suppliers, establishing a reliable network for inventory reordering.
Detail-oriented approach to handling invoices, credit notes, and supplier communication.
Strong communication skills, especially on the phone and via email.
Friendly, proactive attitude, with a willingness to work collaboratively to support our team.
