Job Introduction
A key role within the Visual Projects team that plays a vital part of the creative driving force within the physical space at Selfridges. Working closely with the Visual Projects team and the wider Design teams in the business, the Visual Projects Coordinator will plan, produce, and install exceptional project delivery across all stores which assists in promoting our brand positioning and vision and purpose to provide our customers with extraordinary experiences.
We are looking for an experienced project coordinator who will consistently drive and maintain world-class standards. With a hand’s on approach and flexible management style, we are looking for a person that has the following skills:

* Managing relationships with internal teams, brands, contractors, and suppliers.
* Effective and efficient communication with line manager on current focus, priorities, and current workload.

As the VP Project Coordinator - Real Estate, you will:
* Lead by example – promote and set standards which meet our values and guiding principles.
* Gain a very good understanding of the Selfridges Store Design guidelines and keep on top of key guideline updates. Receive Real Estate design proposals from Beauty brands/design agencies, being able to respond to the brand contacts on the creative, H&S, and build considerations.
* Receive feedback from stakeholders and present the proposal(s) at a weekly business Real Estate meeting.
* Work at pace liaising with the Selfridges Beauty buyers on the Real Estate calendar. Ensure all store access for suppliers weekly/fortnightly, and be contactable out of hours for brand installations/exits.
* Support the Design Manager for the corner shop and ad hoc marketing lead project launches.
* Support the Design Manager with the Regional Christmas Shop project from design through to implementation and removal. Co-managing the visual projects department storage facility; inventory, administration, payments.
* Seek to continually raise the benchmark and improve standards through ongoing development, coaching, and performance management of themselves.
* Adhere to all company policies and procedures, e.g. absences, time and attendance, and holidays, etc.
* Work collaboratively and proactively with various teams.
* Have a good understanding of new production techniques and materials to ensure we are always pushing the boundaries and communicating this to the wider creative community.
* Support the Visual Projects team on all expenditure, including expenses, invoices, purchase orders. Maintain all trackers for schemes and projects.
* Work on the practical realization of projects, delivering a material board for all schemes that is rolled out across all Creative departments for consistency.
* Liaise with suppliers to resolve all elements of build and achieve a high level of finish on all projects.
* Work out of hours where necessary to ensure smooth delivery of installations.
* Consider both the internal and external customer in all activities.
* Work with line manager to identify areas to be developed, propose ideas and costs to do so.
* Be well informed through research on all exciting and ground-breaking art installations and events that use ‘spectacle’ and immersive experience effectively.
* Ensure Visual Projects prop room and tool kits are organized to raise efficiency and effectiveness.
* Manage and maintain the Property Design material library.
* Look for and introduce ways to improve efficiency.
* Adhere to H&S standards, policies, and procedures.
* Contribute to the upkeep of trackers for Visual Projects.
* Ensure the Purchase Order and tracker system is adhered to for all orders.
* Manage invoice sign off and any discrepancies in the ordering process.

* Creative understanding and ability to translate this into practical solutions.
* Good communication skills and the ability to connect with different levels of the business.
* Skills required: AutoCAD / Vectorworks, Adobe Suite, including Photoshop, InDesign.
* Support project planning by creating layouts and capacity plans in CAD.
