The Arts Section is a department within Warwick District Council that manages the Royal Spa Centre (theatre and cinema), Royal Pump Rooms and Leamington Town Hall. Staff working for the Arts Section are based across these sites. Work is varied and is about meeting artists, producers and the public, collaborating with them, and working out how we can best support each other in our mission to provide ‘inspiration and opportunity for all’ through the events and initiatives we organise and deliver.
We are looking for a full-time (37hrs/week) Event Coordinator to manage the internal and external room hire at the Royal Pump Rooms, Town Hall and Royal Spa Centre.
At least 1 year’s experience of organising professional events is essential as well as experience of negotiating the terms of contracts and producing hire quotations and financial settlements. In your application, please include evidence of:
* An awareness of health and safety regulations
* An understanding of basic budgets and costings, and sound mathematical skills
* An understanding of the conference and events industry
* Your ability to use ICT, including word processing, email and spreadsheets
* Experience working in the hospitality/events sectors, providing excellent customer service
Please consider this role if you believe your strengths lie in organisation, communication, and administration, and you want to build up experience in the event industry.
You will be based in the Programming and Marketing team but the role will have close ties with Customer Services, Technical and Facilities, and Collections and Engagement.
You will be responsible, diligent and take pride in your work, delivering excellent customer service through timely responses to enquiries, punctuality and by working closely with the client to deliver what they need.
You are not expected to work at or promote the events you organise but you are the conduit between the client and the necessary delivery teams.
You will receive hire enquiries from Warwick District Council, members of the public, private companies, charities, community projects, and tenants of the buildings via email and telephone. You will manage the cloud-based diary, conduct site visits, create quotes, issue contracts and invoices, and ensure everything is in place for events to go smoothly.
You will also be expected to provide administrative support to the Programming and Marketing Manager and Supervisor by running financial reports, setting up suppliers and debtors on the council’s finance systems and supplying data to teams for monthly KPI reporting.
Hybrid working - we would expect the Events Coordinator to work in the office at 3-4 days a week.
