The Steyn Group is the private markets alternative investment arm of the Steyn family office. The Steyn Group has investments and operating subsidiaries in the UK, US, Europe and South Africa across range of private market investment strategies including real estate, private equity, venture capital and philanthropy. The purpose of this role is to positively contribute to the development of a dynamic and collaborative office environment in Victoria, London. This role is based full time, Monday to Friday, 8.30am - 5.00pm, in our London Victoria Office. Only candidates who can make the above commitment to full time office working will be considered for interview. Key Responsibilities & Duties: Office Management Greet visitors at office, ensuring guests are comfortable Support team in scheduling meetings, interviews and transport Oversee general office administration, including filing, scanning, post distribution, phone call management and obtaining signatures. Maintain office supplies, refreshments and merchandise procurement. Coordinate with contractors, workmen, and managing agents to facilitate office maintenance. Manage office services such as cleaning, air conditioning and energy usage. Serve as the primary point of contact for building maintenance, cleaning staff and visitor reception. Ensure compliance with health and safety policies, including organizing drills, meetings, staff inductions, and PPE distribution while reporting concerns to management. Arrange meetings, including room bookings, refreshments and coordination of external attendees. Organize travel for key stakeholders. Act as the primary key holder. Manage office access including security fobs and ensure staff are informed on keyholding, health & safety, and fire protocols. Maintain strong collaboration with multiple key stakeholders, maintaining confidentiality and discretion Finance Process invoices and purchase orders using NetSuite and Expensify IT Serve as the point of contact for relationship management with IT service provider. Arrange software and hardware onboarding for new joiners. Maintain updated records of staff equipment. Manage central corporate software packages and licenses (e.g. Adobe, Docusign). Maintain database of web domains hosts and developers. People & Culture Coordinate IT setup for new employees and assist with onboarding. Support office engagement initiatives, including length of service recognition, birthdays, corporate social responsibility activities, and social event planning (e.g. Christmas and summer parties). Provide support for formal meeting minute-taking as required.
