Our client, a prestigious Birmingham City Centre multi-use venue, is seeking a Facilities Coordinator to support the FM team in ensuring the building is safe, maintained to the highest standard, and in line with all relevant statutory requirements/legislation. This vacancy has been created due to internal promotion.
Specific duties include:
1. Day to day administration and coordinating of contractors, suppliers, and maintenance works.
2. Assisting in chasing all remedial works from statutory maintenance visits and ensuring these are tracked and completed in a timely manner.
3. Assisting in driving the performance of the contractors, consultants, and associated supply chain.
4. Managing and coordinating the actions arising from regular audits carried out by the Facilities Management Team.
5. Assisting in the monitoring of reactive calls and proactively chasing contractors for speedy resolutions.
6. Raising Purchase Orders.
7. First point of call for queries and escalations, managing all calls coming into the FM Office.
8. Assisting in the monitoring and updating of statutory compliance and project trackers.
9. Producing minutes and action trackers and monitoring progress of works as directed by the management team.
The candidate:
1. A minimum of 2 years’ experience in a Facilities administration role or environment.
2. Demonstrable experience of monitoring maintenance contracts and regimes.
3. Demonstrable experience of managing contractors and consultants.
4. Good communication skills, both written & verbal, with the ability to liaise at all levels.
5. Ability to manage multiple tasks.
6. Attention to detail.
7. Knowledge of Microsoft Office systems, especially Excel.
8. Ability to communicate, negotiate, and influence at all levels.
9. Excellent time management and scheduling skills.
Benefits:
