Job Title Integrated Portfolio Management Operations Lead Job Description Summary Job Description Integrated Portfolio Management Operations Lead Location Edinburgh Hybrid working – 3 days in the office We have a great opportunity for Integrated Portfolio Management Operations Lead to join our team in Edinburgh. This role will see you reporting to (and partners closely with) the Account Lead and a wider specialist team servicing one of Cushman & Wakefield’s largest Global clients in EMEA. The client and the C&W team operate in an industry leading Partnership model where the role will be to support alignment and continuous improvement across all service lines and supporting functions. As the Operations Lead you will assist in the delivery and reporting of Business Operations (governance, compliance, performance, account technology, corporate finance, HRBP functions, etc.) and be responsible for deploying process development, reporting, meeting cadence, and day-to-day liaison with teams. This role is part operations and part tactical administrative. Key Responsibilities Governance & Compliance • Administer SharePoint and platforms, including user approvals and annual reviews. • Ensure regulatory compliance by translating requirements into scopes of work and governance reports. • Maintain compliance logs (e.g., Stakeholder Management, Sub-Contractor, Change Control, Exit Plan). • Complete annual BCP reporting and invocation tests. Financial Management • Collate and track annual budgets across Business Units. • Liaise with finance to monitor monthly value orders and report on budget progress. • Manage annual and monthly financial forecasts for internal and external teams. Reporting & Meetings • Organise KPI meetings, collate feedback, and prepare scorecards. • Lead quarterly review meetings, including QBRs, QSBRs, and SGMs, with associated work packages. Project & Event Management • Plan and manage events by preparing agendas, presentations, and materials while handling logistics like travel and budgets. Team & Client Support • Develop and maintain business standards, best practices, and the master "Playbook." • Coordinate "How-to-guides" and maintain process manuals. • Track Pre-Employment Screening (PES) compliance and manage access to systems. • Analyse portfolio data and share insights with stakeholders. Technology Oversight • Support deployment of technology platforms and data improvement initiatives. • Manage platform licenses, training, renewals, and re-charging. Continuous Improvement • Promote a culture of Continuous Improvement and Innovation (CI&I). • Manage CI&I initiatives and track alignment with improvement programmes. Administrative Duties • Oversee diary management, meeting schedules, and holiday trackers. • Update organisational charts and distribution lists for steering groups. Skills & Qualifications • Degree or equivalent qualification required. • Proven operational experience preferred. • Skilled in solving complex problems and identifying solutions. • Strong analytical, communication, and relationship-building abilities. • Highly organised, detail-oriented, and responsive. • Effective motivator and negotiator at all levels.
