The Role
We are looking for someone who ideally has previous experience as a Senior Personal Assistant, Executive Assistant or a Personal Assistant. The Personal Assistant plays a critical role in supporting our Chief Technology Officer, Chief Operating Officer and the Chief Revenue Officer during our scale-up phase. This role will focus on delivering exceptional administrative, organisational and communication skills to ensure seamless coordination across Technology, Operations and Revenue. You will act as a trusted partner to your C-Suite members and enhance operational efficiency, manage priorities and support initiatives that contribute to our overall company success. In addition, this role will support the day-to-day running of Office and Facilities management to ensure a consistent and effective service to all stakeholders.
C-Suite Support
* Act as the primary point of contact for the CTO, COO and CRO, managing communications and prioritising requests to optimise their time.
* Provide guidance to employees on general business queries on behalf of the CTO, COO, and CRO.
* Proactively manage complex diaries, scheduling high-level meetings, anticipating conflicts.
* Oversee and manage the CTO, COO and CRO inboxes, drafting correspondence and responding on their behalf and handling urgent matters.
* Prepare agendas, reports and presentations for meetings, ensuring accuracy and following tight deadlines.
* Foster strong relationships across departments, ensuring alignment with company objectives and priorities.
* Act as a liaison between leadership and department Heads Of, ensuring clear communication and follow-through on priorities.
* Manage confidential and sensitive information with the highest level of discretion and professionalism.
Office and Facilities Management
* Oversee office-related budgets, monitor expenses and ensure cost-effective procurement of office supplies and external services.
* Oversee the management of meeting rooms and the office management system (Kadence).
* Work closely with People Operations to ensure an efficient onboarding and offboarding programme.
* Work closely with Executive Assistant on KPI reporting for health, safety, environmental and waste management.
* Act as designated First Aider and Fire Warden for the business.
You Will Suit This Role If You
* Have proven experience as a Senior Personal Assistant, Executive Assistant or a Personal Assistant gained in a professional services environment, such as the legal and consulting sectors.
* Have demonstrable experience working and providing exceptional administrative support to C-Suite and Head of level members.
* Have strong written and verbal communication skills with the ability to communicate with different levels of stakeholders across the business.
* Are a proactive, and resilient individual who can show initiative and work in a fast-paced environment and respond to changing needs.
* Are an expert in Microsoft 365 packages, e.g., amending PowerPoint presentations, confidently using Excel formulas, running mail merges, and designing and creating Word templates.
* Have previous experience working with office management systems such as Kadence or equivalent.
* Are an independent worker who owns all aspects of their role delivering to a high standard.
* Are a natural problem solver, and able to present creative solutions to complex issues.
* Have strong organisational skills with the ability to juggle conflicting demands and priorities.
