Job purpose
The role of Fire Prevention Clerk involves collaborating with Fire Prevention Captains to offer administrative assistance within the Fire Prevention Office. Under the direct supervision of the Fire Chief, this position interacts with the community to process burning permits, arrange home inspections for smoke/carbon monoxide, and offer essential fire prevention guidance. The ideal candidate should have previous clerical expertise and be proficient in managing records, electronic documentation, and addressing public queries.
Duties and responsibilities
- Interact with the public and Fire Department personnel daily, manage incoming phone calls,
email inquiries, and directing calls/messages to the appropriate Fire Department personnel.
- Maintain electronic filing systems and handle permit requests efficiently.
- Assist in drafting Fire Prevention correspondence as needed.
- Sort and distribute incoming mail and other correspondence promptly.
- Type all Fire Prevention Office correspondence as requested.
- Collecting data and composing reports.
- Sort and distribute incoming mail and other correspondence.
- Delivering payroll, invoices, and deposits to the Town Offices.
The above are typical tasks regularly performed, but additional related tasks of equivalent skills and responsibilities are performed as service requirements change.
Qualifications
Skills, Knowledge, and Abilities:
- Typing, data entry, and customer service skills
- Must be well organized and able to work independently.
- Knowledge of Adobe PDF, Microsoft Word, Outlook, and Excel
- Ability to interact with all types of people.
Education and Training:
- H.S. diploma or GED required.
- 2 years of similar office experience required.
Working conditions
The job entails operating in a standard office setting, with frequent interruptions from alarm systems, radio transmissions, and various odors from both indoor and outdoor sources. Extended periods may be spent at a computer, on the phone, or operating office equipment, necessitating good eye-hand coordination and finger dexterity.
Physical requirements
Regular standing, lifting, and bending are necessary for filing tasks.
