Job Description
My client is currently seeking a dedicated and organized Personal Assistant / Administrative Assistant to provide support to their team. As a prominent player in the real estate industry, they are looking for an individual who is proactive, detail-oriented, and thrives in a fast-paced environment. This role will play a crucial part in ensuring the smooth operation of our office and supporting their executives with their day-to-day tasks.
1. Provide comprehensive administrative support to executives and team members, including managing calendars, scheduling appointments, and coordinating meetings and events.
2. Act as the first point of contact for internal and external stakeholders, answering phone calls, responding to emails, and handling inquiries in a professional and timely manner.
3. Assist with document preparation, including drafting and editing correspondence, reports, presentations, and other materials as needed.
4. Coordinate travel arrangements, including booking flights, hotels, and transportation, and preparing travel itineraries.
5. Maintain and organize office systems, including filing, record-keeping, and managing office supplies and equipment.
6. Assist with project management tasks, including tracking deadlines, updating project plans, and coordinating with team members to ensure timely completion of tasks.
7. Conduct research and gather information on various topics as requested by executives, providing summaries and analysis as needed.
8. Assist with special projects and initiatives as assigned, contributing to the overall success of the company.
9. Handle confidential information with discretion and maintain a high level of professionalism always.
10. Collaborate with other administrative staff to ensure seamless operation of the office and support for the entire team.
Requirements
1. High school diploma or equivalent; additional certification in office administration or related field is a plus.
2. Proven experience as a Personal Assistant, Administrative Assistant, or similar role, preferably in a real estate or property management environment.
3. Strong organizational skills with the ability to prioritize tasks and manage time effectively in a busy office environment.
4. Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
6. Attention to detail and accuracy in all aspects of work, with a commitment to delivering high-quality results.
7. Ability to work independently with minimal supervision, while also functioning effectively as part of a team.
8. Flexibility and adaptability to handle changing priorities and multiple tasks simultaneously.
9. Discretion and confidentiality in handling sensitive information.
10. Positive attitude and willingness to take on new challenges and learn new skills.
