About Our Client:
Our client, a reputable legal organisation with offices in Leatherhead, is seeking a dedicated and skilled Legal PA - Secretary to join their Private Client department.
As a Legal PA, you will provide invaluable support to fee earners and the Private Clients Deputy Head, ensuring the smooth operation of their work. We are looking for a proactive individual with excellent organisational skills and experience in private client law.
Role Responsibilities:
1. Preparing correspondence and documents, including transcribing digital dictation.
2. Administering filing, including daily filing and the opening, closing, storage, and retrieval of client files.
3. Arranging appointments, meetings, and maintaining up-to-date diaries for fee earners.
4. Providing support to other secretaries as required.
5. Assisting junior and temporary secretaries when needed.
6. Progressing client matters independently and in the absence of a fee earner.
7. Providing professional and friendly client care, both in person and on the telephone.
8. Undertaking specific training when required and taking responsibility for self-development.
9. Ensuring the confidentiality of all the firm's and clients' documentation and information.
10. Operating the firm's case management system.
11. Contributing to the efficiency of the department by suggesting improvements.
12. Preparing meeting rooms and providing refreshments if needed.
Person Specification:
1. Excellent touch-typing speed (essential).
2. Substantial previous Legal Secretarial experience, specifically in a Private Client department (essential).
3. Ability to work well as part of a team.
4. Advanced IT skills and excellent typing speed.
5. Strong interpersonal and communication skills, with empathy towards clients in difficult circumstances.
6. High levels of accuracy and attention to detail.
7. Proactive approach to work with a positive attitude.
8. Ability to work under pressure, prioritise effectively, and meet deadlines.
9. Demonstrate commitment to the organisation and an interest in legal work.
10. Courteous and respectful when dealing with colleagues and clients.
11. Willingness to take on additional tasks as required.
