Role Description
We are seeking a dynamic and highly organised Executive Assistant & Project Manager to support the Head of Family Office and oversee the delivery of key business projects. This is a unique dual-role opportunity for a proactive individual who can combine executive-level support with project management expertise to ensure operational excellence and strategic outcomes.

Key Responsibilities
Executive Assistant Duties:
* Provide comprehensive support to the Head of Family Office, including diary management, meeting coordination, travel arrangements, and correspondence.
* Prepare reports, presentations, and briefing documents for internal and external meetings.
* Act as a gatekeeper and point of contact for the Head of Family Office, handling communications with professionalism and confidentiality.
* Coordinate high-level engagements, events, and stakeholder meetings.
* Monitor and prioritise emails, calls, and tasks to ensure efficient time management.
Project Management Duties:
* Oversee and expedite a range of strategic projects, ensuring timely delivery and alignment with business objectives.
* Collaborate with cross-functional teams to define project scopes, objectives, timelines, and deliverables.
* Track progress, manage risks, and resolve issues to ensure successful project outcomes.
* Conduct inspections, manage logistics, and monitor project milestones.
* Provide regular project updates and reports to stakeholders, ensuring transparency and accountability.
* Identify and implement process improvements to enhance efficiency across projects.
General Responsibilities:
* Support strategic initiatives, including mergers, acquisitions, and integrations within the group.
* Conduct research, provide insights, and assist with decision-making processes.
* Maintain comprehensive records of projects, meetings, and activities to ensure compliance and operational effectiveness.
* Act as a trusted advisor to the Head of Family Office, offering input on operational priorities and project strategies.
Qualifications and Skills
* Executive Support Experience: Proven experience as an Executive Assistant, ideally supporting C-level executives.
* Project Management Expertise: Demonstrated ability to manage complex projects from inception to completion, including planning, coordination, and execution.
* Industry Knowledge: Familiarity with the insurance, finance, or professional services sectors is highly desirable.
* Key Competencies:Strong organisational and multitasking skills.
* Excellent communication skills, both written and verbal.
* Ability to handle sensitive information with discretion and professionalism.
* Analytical mindset with a proactive approach to problem-solving.
* Technology Proficiency: Advanced proficiency in Microsoft Office Suite and project management tools such as Monday.com, Asana, or Trello.
* Education: A degree or equivalent qualification in Business Administration, Project Management, or a related field. Project Management certifications (e.g., PRINCE2, PMP) are a plus.
