Job Title - IFA Administrator (Hybrid working – Central London) Location: Central London Area. This is a remote working position with regular subsidised travel into Central London for meetings. Salary: £36,000 - £40,000 DOE Working Hours: Monday to Friday 9am – 5:30 pm Overview of Role We have an exciting opportunity for an experienced IFA Administrator to join a dynamic wealth management firm currently undergoing a period of exceptional growth. This unique position involves directly supporting the Founder in all aspects of financial administration and business operations. With exposure to UHNW (Ultra High Net Worth) clients in regular face-to-face meetings, this role offers accelerated career progression for the right candidate. As the IFA Administrator, you will provide seamless administrative support, manage client communications, and ensure all documents and data are accurate and up to date. Acting as a key point of contact for clients and the outsourced administration and paraplanning team, you will also handle various administrative tasks to help the Founder operate efficiently. This is a remote role, requiring travel to Central London for client meetings. Therefore, we are looking for a self-motivated, highly organised individual who thrives on using their own initiative. Key Responsibilities Client Liaison: Act as the main point of contact for client queries, schedule meetings, and maintain strong client relationships. Meeting Attendance: Attend regular client meetings to provide administrative support, ensuring accurate meeting minutes are taken and follow-up tasks are documented and completed post-meeting. Outsourcing Team Liaison: Serve as the primary contact for the outsourced admin and paraplanning team, answering queries, relaying information to the Founder, and ensuring deadlines are met. Document Preparation: Draft client letters and ensure all documents for client reviews are prepared accurately and on time. Client Account Management: Set up and manage client accounts while ensuring compliance with business requirements. Letters of Authority (LOAs): Prepare and process LOAs, coordinating with providers to facilitate account management. Pipeline Management: Track the progress of client applications, ensuring smooth and timely service delivery. Data Management: Maintain back-office systems and client portals, manage fact finds, and ensure records are accurate and up to date. Review Coordination: Schedule client reviews and ensure all necessary documentation is prepared in advance. General Administrative Support: Provide day-to-day assistance to financial advisers. Candidate Requirements Previous experience in an IFA Administrator role is essential. Strong written and verbal communication skills. Exceptional organisational skills with the ability to handle multiple priorities. Proficiency with financial back-office systems and Microsoft Office. A keen eye for detail and the ability to work independently. GCSE English and Maths- Grade C (or Grade 4) and above. Level 3 or above in Financial Planning qualifications would be advantageous but not mandatory to apply for the role.
