Our client, a leading utilities contractor, is currently looking for a Trainee Document Controller to join their already successful team, working 1 day a week out of their offices in the Maple Cross area.
Starting on a contract basis paying an equivalent salary of up to £28,000 per annum.
The ideal Document Controller will be responsible for managing the document control process and dealing with a wide range of documents in their storage platforms.
You will fulfil a key role within the programme team and will help the rest of the document controllers team with the storing, numbering, filing, and retrieval of documents for project, design, commercial, programme, and H&S teams.
Duties and Responsibilities:
1. Working as part of a team and be able to communicate clearly.
2. Able to track project documentation and chase project teams for any outstanding items.
3. Handling intake, verification, creating new document numbers, and storing documents.
4. Check for accuracy and edit files, like contracts.
5. Review and update technical documents (e.g., manuals and workflows).
6. Copy, scan, and store documents and distribute project-related copies to internal teams.
7. Maintain confidentiality around sensitive information and terms of agreement and ensure the secure disposal of sensitive documents.
8. Assisting employees with accessing documents through our document management systems (Sharepoint and Business Collaborator).
9. File documents, mainly digital records.
10. Distribute project-related documents to internal and external teams.
11. Make the teams aware of new versions, when they need to take action on documents, and other key documentation submission deadlines.
12. Make suggestions to the current process, contributing to the efficiency of the teams and help with the folder structure.
13. Act as point of contact for document-related matters.
Skills and Knowledge Requirements:
1. Experience in document management, archive management, or record management.
2. Effective communication skills and commercial awareness.
3. Fully competent at using IT systems and Office software.
4. Knowledge of Electronic Document Management Systems (EDMS) like Salesforce/Boxit, Sharepoint/Teams, and Twexnet (Business Collaborator).
5. Effective communication skills both verbal and written.
6. Preferred but not essential - experience of working within a client organisation.
7. A project control qualification (desirable).
8. Proven track record in a similar role.
9. Excellent organisational skills.
10. Confident and self-motivated individual with the ability to innovate.
11. Be able to work with others to understand, develop, and harness the knowledge and best practice both within and outside of the business.
