Job Summary:
We are seeking an experienced and highly organised Office Manager to oversee daily operations within our travel agency and education services division, catering to Chinese students and visitors. The Office Manager will play a pivotal role in managing office logistics, supporting our team in delivering exceptional services, and ensuring smooth administrative functions. This position requires a proactive individual with strong communication skills and the ability to thrive in a fast-paced, multicultural environment.
Key Responsibilities:
1. Oversee the day-to-day operations of the office, ensuring efficient workflows and a well-organised environment.
2. Provide exceptional customer service to Chinese students and visitors, addressing inquiries regarding travel, education, and general services.
3. Manage and coordinate travel arrangements for clients, including flights, accommodation, and transportation within the UK or abroad.
4. Oversee the preparation and management of travel and educational documentation, including visa applications, itineraries, and other essential paperwork.
5. Liaise with various departments to ensure that all services are delivered promptly and efficiently. This includes coordinating between the travel and education teams to ensure a seamless client experience.
6. Assist with office administration, including answering calls, managing emails, scheduling appointments, and handling general enquiries.
7. Build and maintain strong relationships with suppliers, including travel agencies, accommodation providers, and educational institutions.
8. Assist in managing the office budget, ensuring expenses are controlled, and providing reports as required.
9. Ensure that office operations comply with relevant regulations, including health and safety standards, and that the office is a safe and welcoming space for clients and staff.
10. Organise events such as orientations, workshops, and cultural activities for students and visitors, helping them acclimatise to life in the UK.
11. Assist with translation or interpreting tasks where required, particularly for Chinese-speaking clients.
Qualifications:
12. Proven experience as an Office Manager, Administrative Assistant, or similar role, ideally within the travel or education sectors.
13. Excellent written and verbal communication skills in English. Fluency in Mandarin Chinese is highly desirable to liaise effectively with Chinese-speaking clients.
14. Strong organisational skills with the ability to prioritise tasks and manage multiple projects simultaneously.
15. Experience in delivering outstanding customer service and handling client queries efficiently.
16. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and experience with office management software and databases.
17. A strong understanding of Chinese culture and the needs of Chinese students and visitors in the UK.
18. Strong problem-solving abilities with a flexible, can-do attitude.
19. A degree or equivalent qualification in Business Administration, Hospitality, Tourism, or a related field is preferred but not essential.
20. High attention to detail and accuracy, particularly when handling documentation.
