Business Support Coordinator - 12 month fixed term contract

£26,000 office based
Our client are looking for a Business Support Coordinator, to cover maternity leave on a 12 month fixed term contract. There may be an opportunity for a full time contract in a different position within the team at the end of contract but this is not a guarantee.
Sitting with the HR team, and reporting in to the Group HR Manager, this is a varied role that requires excellent multi-tasking skills, superb organisational ability and a strong character.
Principal Accountabilities/Responsibilities:
1. First point of contact for external / internal key personnel
2. Meeting and greeting visitors
3. Organising and attending meetings where required and ensuring all documentation is prepared, and submitted in a timely manner
4. Full admin support for the Senior Management Team giving priority when requested to the CEO
5. Ensure and maintain logs for processes such as GDPR; IT and key logs
6. Monitor and book all statutory training e.g. First aid, FLT courses
7. Collating Environmental, Social & Governance Data (ESG) monthly updates
8. Collating LDC data and submit within timely deadlines
9. Maintaining the company Amazon account for purchases
10. Credit card reconciliation for Senior Team Members
11. Assist with collation and submission of the monthly External Board Pack
12. To take minutes at meetings and provide general assistance during presentations
13. Be the first point of contact for Facilities Maintenance including but not limited to maintenance of the building and equipment, managing maintenance contracts and dealing with any emergencies on site
14. Collate, update and circulate diaries for the Senior Team and Regional Consultants
15. Co-ordinate sales conference and sales meetings, including booking transport & accommodation and additional expenses
16. Co-ordinate training for new agents, circulating details to prospective new agents and all relevant HO personnel and regional Consultants
17. Generation of all documentation relating to Agents including raising contracts and relevant paperwork monitor, and tracking collection, and return of company equipment and arranging insurance where appropriate
18. Complete audits of Agent’s kits, managing refurbs and updates
19. Generating comms and letters to Agents as and when is needed
