The Artisan Recruitment Group is looking for a Document Controller for a leading mechanical services contractor that provides bespoke technical solutions. Services include plant room installations, office refurbishments, underfloor heating systems, sports pavilions, and chiller and AHU plant installations.
Key Responsibilities:
1. Document Management:
o Organize, store, and maintain all project-related documentation, including contracts, mechanical drawings, specifications, and project reports.
o Ensure that all documents are filed correctly, easy to access, and up-to-date throughout the project lifecycle.
o Implement version control procedures to ensure the latest drawings and documents are being used by the team.
2. Coordination & Communication:
o Act as the main point of contact for document-related queries between internal teams, clients, subcontractors, and suppliers.
o Distribute documents, reports, and drawings to the relevant project stakeholders.
o Facilitate the collection of documents and approvals from clients and regulatory bodies when required.
3. Compliance & Quality Control:
o Ensure all documents comply with industry, safety, and project-specific standards and regulations.
o Monitor the document review and approval process to ensure timely and accurate submission of required documents.
4. Software & System Management:
o Maintain the document management system to ensure proper archiving and retrieval of project files.
o Keep digital and physical document storage systems organized and easily accessible for project teams.
5. Archiving & Reporting:
o Ensure all project documents are archived properly at the completion of projects, making them available for future reference or audits.
o Generate regular reports on document status, approvals, and submission timelines.
Qualifications & Skills:
1. Experience:
o Previous experience in document control, administration, or a similar role, preferably within the construction, mechanical, or engineering industry.
o Experience working with construction documents, mechanical drawings, and contract documentation is highly desirable.
2. Skills & Attributes:
o Strong attention to detail and excellent organizational skills.
o Effective communicator with both written and verbal communication skills.
o Ability to handle multiple projects at once while maintaining document accuracy.
o A proactive approach to problem-solving and process improvements.
