Executive Assistant - 12 Month Fixed Term Contract
As an Executive Assistant, you will provide efficient and confidential administrative support to the Board of Trustees, the Chief Executive, and the Executive Team.
Full Time, Fixed Term Contract
Salary up to £36,000 Pro Rata
Car owner/driver due to remote location
One site location - Near Newbury, RG18 9NU
About the Executive Assistant role
Maintain day-to-day oversight of the organisation’s charity and company governance, including the effective running of the Board of Trustees and committees.
Coordinate and support the Exec team to ensure delivery of risk register, business planning, and policy review for the organisation.
Support the development of processes and management of GDPR requirements across the organisation.
Other tasks/projects as identified by the Chief Executive.
Key Responsibilities
Trustee Support:
1. Main point of contact for the Board of Trustees.
2. Advising or co-ordinating advice for trustees where required, on governance and Prior’s Court matters.
3. Co-ordinate a schedule of activities to ensure the Board and organisation maintain compliance with the requirements of Charity and Company registration.
4. Coordinate Board and Subcommittee activities, including agenda preparation, the review and distribution of papers, preparing minutes and managing minute reviews, and proactively tracking the progress of agreed action points.
5. Handle sensitive information discussed during meetings with the utmost confidentiality and maintain data security.
6. Support development and improvement of corporate governance structures and processes including supporting periodic review, and maintaining terms of reference and schemes of delegation.
7. Support the Trustees with any other ad hoc requirements, including setting up 1:1s with the CEO and other Executive team members as required.
8. Support the recruitment and manage the induction process for new Trustees, and other roles within governance including Parent and Staff Representatives.
9. Maintain training and compliance records for the Board of Trustees.
Work Schedule: You will work Monday-Friday 37.5 hours per week.

Qualifications:
Minimum of 2 years’ experience within a similar role.
Educated to GCSE level, including Maths and English.
Advanced level in MS Office including MS Word, PowerPoint, Excel, and Outlook.
