As the office manager, you will be instrumental in shaping workplace operations, community and culture in our brand-new workspace. Renovated August 2024, we have moved a new Holborn-location that deploys some of the latest thinking in smart and sustainable buildings practises (B-Corp Accredited). This role will architect and manage our workplace environment designed to ensure the high performance of our business services teams. Responsibilities Actively oversee the office environment to ensure a happy, productive and efficient workplace for all employees Provide creative solutions to workplace challenges, proactively encouraging the continuous improvement of people, process and technology governance Lead office vendor liaison, ensuring any maintenance and upgrades of our facilities and equipment are managed effectively and in a timely manner in collaboration with the building managers. Implement and maintain office wellness, health and safety and GDPR policies and procedures to ensure a safe, effective and efficient environment Assist with FP&A duties to include commercial budgets, forecasts and reporting activities Manage accounts payable and receivable, including the process of invoices, payments and expenses to ensure accurate and timely finance operations Serve as the primary contact for our accountancy partner to ensure prompt payroll and tax submissions in compliance with local law Serve as the primary contact for our human resources partner to ensure timely activities such as employee records management, recruitment, personal and culture development Manage employee benefits packages to ensure that any subscriptions are actively maintained and competitively priced Mange the on/offboard of new employees to ensure that we maintain a transparent and positive experience for both new and incumbent teams Serve as the central point of contact for any Environment, Social & Governance (ESG) commitments to ensure our responsibilities are maintained (i.e. EvoVadis & B-Corp) Provide executive assistant support to the CEO & Founder in the planning and execution of business strategies, tactics and communications Provide executive assistant support to the CEO & Founder to help with appointments, meetings and travel coordination including the authoring of meeting minutes and actions Provide events and travel logistics support for staff and executives to ensure timely and cost-effective preparations Ensure all employee absence, holiday, time and expense reports are submitted weekly required to maintain timely and accurate business forecasts Organise formal and social company events to ensure all appropriate resources and teams are brought together to foster a positive culture Proactive manage office supplies, equipment, and inventory, ensuring the office is fully stocked and equipment is functioning properly Author and publish company communications, updates and announcements to ensure teams are kept informed of relevant news and information Answer and manage inbound calls received from suppliers and/or external interests and triage towards the appropriate teams Candidate Profile Professional experience in an office manager of personal assistant role is required An exceptionally organised individual able to uphold professional standards in others A proactive problem-solver, with high emotional intelligence and leadership qualities A clear and effective communicator with strong interpersonal skills Someone seeking the freedoms and opportunities to lead in a scale-up environment Someone seeking to make a positive impact on people and the planet Proficient use of MS Office & XERO Accountancy software is required Proficient use of social media and creative software is preferred (i.e. Adobe, Canva).
