Role Overview: We are hiring for a Receptionist/Office Administrator role based out of our Team Valley (Gateshead) office on a 10 month fixed term contract basis. This person will provide a welcoming environment to all of our people and external clients and will ensure that ensure that effective administrative support is given. Key Responsibilities: Provide front of house support, ensuring that all internal and external visitors and contractors are welcomed, signed in and security requirements met Liaise with 3rd party providers in order to support and maintain our offices and Data Centres. This includes ordering ordering consumables and refreshments for meetings and grocery deliveries Assist with administrative requirements such as travel, expenses and arranging taxis Support the People team with onboarding administration and our volunteering/social approach. Support and upkeep the office, ensuring that meeting rooms are clean, tidy and fit for purpose. Oversee the cleaners’ requirement and any issues related to housekeeping. Ensure that all incoming and outbound postal requirements are met, arranging and receiving courier deliveries. Book external meeting rooms as required, raising Purchase Orders accordingly. Facilitate supplier access to buildings. Ideal Candidate: Immediately available (or maximum 1 week’s notice period) Previous Reception experience, including answering phones and dealing with internal and external customers Some experience in administrative duties such as booking travel/raising PO’s Good MS Office skills in particular Excel and Word. Organised and able to prioritise work effectively. Solutions driven, confident and friendly approach in dealing with people. Excellent communication and relationship building skills.
